AI platform is looking for an Executive Assistant / Operations to join their growing team as the first admin hire. This is a great opportunity to join a fast-moving startup that recently raised its Series A and is scaling from 16 to 100 employees by the end of 2026. In this role, you'll provide admin support to the CEOmanaging calendar, triaging inbox, and light PA supportwhile owning company operations functions, including office management, vendor management, office move coordination and planning (moving into a bigger space EOY), recruiting ops, and planning company events and offsites. Someone with startup experience and mentality who understands fast-paced environments, can enhance workflows with creative thinking, and is process-oriented. This is an in-office role based in downtown San Francisco. 100-130K+ DOE + equity, fully covered benefits, 401k, flexible PTO, lunch + dinner provided.
Responsibilities
- Provide admin support to the CEO - calendar management, coordinating meetings, supporting day-to-day priorities, tracking inbox, and flagging communications to ensure timely response.
- Oversee office operations, including organizing office move and space planning, vendor management, stocking supplies and snacks, meal program ordering, and keeping the space running efficiently.
- Welcome guests, prepare meeting spaces, and create a professional and friendly office experience.
- Assist with recruiting operations, including setting up ATS, scheduling interviews, candidate experience, and process implementation.
- Organize and plan team off?sites and events.
- Assist with internal coordination and help troubleshoot employee needs.
- Build and refine processes to streamline operations and improve efficiency.
- Handle light personal support for the CEO, such as appointment scheduling as needed.
Qualifications
Previous 2-3+ years of experience in startup Admin / Operations or similar role, ideally in a fast?paced environment.Collaborative approach with a positive and adaptable mindset.Strong sense of ownership and the ability to operate independently while keeping leadership updated.Excellent problem?solver who can create systems, improve workflows, and move quickly.Takes initiative and proactively communicates updates to keep projects moving smoothly.Extremely organized, detail?oriented, and able to manage multiple priorities at once.Strong communication skills and follow?through.#J-18808-Ljbffr
