This is a remote position.
The Quality Documentation Specialist ensures that all quality-related documents (SOPs, work instructions, forms, audits, reports, equipment logs, etc.) are created, maintained, and controlled to support RRTMAX’s operational, compliance, and continuous improvement goals. This role helps guarantee that documentation is accurate, up-to-date, properly approved, and readily accessible.
Key Responsibilities
Draft, review, revise, and manage Quality documents (SOPs, forms, work instructions, inspection reports)
Ensure documents meet internal standards for clarity, formatting, version control, and regulatory or company policy compliance
Organize, archive, retrieve, and maintain both electronic and (if applicable) paper documentation
Manage document control processes : approvals, versioning, distribution, and obsolescence of outdated documents
Support audits (internal / external) by ensuring documentation is audit-ready and responding to documentation requests
Collaborate with operations, quality, safety, and other internal stakeholders to implement documentation changes or improvements
Monitor document status (review cycles, revisions) and track metrics (e.g., overdue reviews, document error rates)
Assist with training materials or user guidance regarding document control practices or updated procedures
Requirements
High school diploma or equivalent required; Associate’s degree or higher in a related field preferred
Experience (1-3 years) in document control, quality assurance, or similar documentation roles
Strong skills with Microsoft Office (Word, Excel) or equivalent tools; familiarity with document management systems is a plus
Excellent attention to detail, organization, and ability to manage multiple documents / projects simultaneously
Good written and verbal communication
Ability to maintain confidentiality and follow compliance / quality policies
Reliable internet connection and ability to work remotely with minimal supervision

Requirements
High school diploma or equivalent Proven experience in data entry, data processing, or administrative roles Excellent typing speed and accuracy Proficiency with Microsoft Office (Excel, Word) and / or Google Sheets Familiarity with database or ERP systems is a plus Strong attention to detail, organizational skills, and ability to maintain focus Good written and verbal communication skills Ability to work independently and manage time effectively Reliable internet connection and a suitable home office environment Preferred / Nice to Have : Experience in the oilfield, energy, or equipment rental industries Basic understanding of accounting or inventory concepts Experience handling confidential or sensitive data Familiarity with data validation, lookup functions, macros, or scripting
