Patient Care Coordinator – Full Time

Our compassionate psychiatrists, therapists, nurse practitioners, and operations team work together to deliver thoughtful, coordinated care. We've grown steadily by focusing on what already works — high-quality clinical care, empathy for our patients, and strong support for our staff.
As we grow, we are looking for a Patient Care Coordinator to support our patients and clinicians in delivering the right care at the right time.
Key Responsibilities :
Create a welcoming and supportive patient experience by greeting patients and visitors with warmth, professionalism, and empathy.
Manage a busy front desk by answering calls and responding promptly to patient inquiries via phone, email, text, and the portal, while scheduling appointments for new and returning patients.
Handle sensitive and confidential patient information with empathy, discretion, and professionalism.
Collect and process payments such as co-pays, deductibles, and insurance-related payments.
Verify insurance eligibility and benefits and communicate coverage information to patients.
Request and process medical records, including soliciting and sharing with hospitals, providers, and insurers; understanding of HIPAA compliance is a plus.
Coordinate patient scheduling with providers and ensure efficient completion of intake forms, patient agreements, credit card authorization, and insurance information when applicable.
Support medical staff with administrative tasks and assist in office operations (opening / closing, mail, packages, supplies).
Document and relay patient concerns or feedback to the appropriate team members.
Contribute to a collaborative, supportive work environment and adapt quickly to changing needs.
Qualifications :
Operations and / or customer facing experience required.
Ability to multitask and process information quickly in a fast-paced environment.
Flexible and adaptive, able to shift priorities and adjust as patient or office needs change.
Strong organizational skills, with a bias for process and accuracy.
Customer service mindset : friendly, empathetic, and professional in interactions while understanding the business needs of the practice.
Revenue cycle management experience and or prior work in a medical office or with insurance systems is a plus.
Able to work independently with direction, demonstrating strong problem-solving and critical-thinking skills.
Genuine interest in mental health and appreciation for the value it brings to patients and the community.
Committed to professional growth and looking for a stable role (ideally 2+ years).
Fluent in verbal and written English; work authorization in the U.S. required.
Proficient with computer applications (e.g., Microsoft Office Suite) and comfortable learning new software. Experience with EMR and CRM software is a plus.
Schedule & Compensation :
This position is full time Monday through Friday and 100% onsite at our Brooklyn office.
$20.00–$24.00 per hour (commensurate with experience)
