Led by the values and mission of the organization, the Benefits Account Manager is responsible for servicing clients in the employee benefits division. These tasks include building rapport, serving existing and potential customers, identifying their insurance needs, and coordinating the placement of benefit plans to meet those needs. This role ensures high-quality onboarding, strategic renewal management, open enrollment coordination and day-to-day service excellence.
Key Responsibilities
Client Service & Execution
- For new clients, oversee the onboarding of and lead onboarding calls with producer and transition team, as applicable.
- Create and maintain current Scope of Services Agreements in coordination with the producer and client, adhering to the Oakbridge service model.
- At renewal, manage the renewal timeline including adherence to the agreed upon schedule, ensure timely proposal delivery and decision making, and execute contribution strategy.
- Prepare and present renewal presentations and confirm final plan designs with clients.
- Host in-person Open Enrollment meetings and manage post-enrollment calculations (e.g., commissions).
- As needed, address compliance questions, deliver custom client communications, and support vendor selection.
- Oversee the annual compliance calendar and provide specific guidance such as but not limited to 1094 / 1095 reporting and Form 5500 processes.
Reporting & Project Support (Owns the outcome and signs off on deliverables completed by others)
Oversee onboarding and renewal tasks to include updating agency systems (e.g., EPIC, CRM, et al), document organization, and folder creation / updates.Own agency system tasks (e.g., adding policies, assigning commission structures, confirming client hierarchies).Manage marketing process for new and renewing clients, including data collection of census data, claims reports, contribution strategies, renewal documents and other needed data.Manage self-funded claims analysis using carriers and vendor partners, ensuring data integrity and timely peer review.Manage the renewal implementation process : onboarding through case wrap-up, including post-decision actions and enrollment census delivery.Oversee Open Enrollment preparation, including in-house and outsourced communications and approval of all benefit education materials.Ensure accuracy in audit processes, eligibility management, and reporting.Ensure internal compliance deadlines are met including but not limited to ACA filings, RxDC reporting, and Medicare Part D notices.Oversee client technology interactions : plan updates, testing, system buildouts, and reportingTeam Collaboration (Engaged for expertise and input)
Participate in stewardship / mid-year reviews and Health & Welfare Compliance Audits.Support compliance-related initiatives : PCORI calculations, minimum value testing, and wrap document requirements.Collaborate on system builds and enhancements (BenAdmin, ACA filing systems, HR / payroll tech evaluations)Informed Stakeholder (Kept in the loop)
Stay updated on prospecting activities and onboarding progress.Monitor telephonic enrollment support outcomes and benchmarking analyses.Review communications from legal and compliance vendors, as needed.Receive status updates on technology deployment, BenAdmin testing, and data integrity auditsRequired Qualifications
Advanced knowledge of employee benefits.Technical aptitude with CRM, Applied / EPIC, Benefits Administration, and HRIS platforms.Strong analytical skills for reviewing claims data and financial modeling.Client-first communication style with strong presentation and consultative abilities.Thorough understanding of ACA, ERISA, HIPAA, COBRA, and other compliance mandates3+ Years of Experience working in a Benefits Account Management RolePreferred Education / Experience
Bachelor's degree in Business, Human Resources, Public Health, or related field (or equivalent experience).Industry certifications (CEBS, GBA, HIA).About Us
