Summary / Objective :
Provides overall administrative support to the Commissioning Manager and service department personnel.
Essential Functions :
Coordinate service resourcesSchedule personnel, materials, sub-contractors and equipment based on project needs, skill sets, and availabilitySchedule warranty work from other departments in the companyOrder equipment and materials for the fieldInteract with the warehouse and shipping department, as necessary - notify responsible parties when parts have arrivedPrepare presentations and confidential financial documentsSet up new jobs for review and execution and maintain documentation throughout the course of the jobAnswer phone to assist customers and techniciansAssist with proposals, making copies of drawings, acquiring permits, obtaining special project job numbers and submittalsAssist with administrative duties to Account ManagersAssist with the creation of employee accounts in multiple company databasesCorrespond with various departments within the companyProvide basic IT troubleshootingPerform other duties as assignedSupervisory Responsibility : No
Required :
1 - 2 years' administrative experience in a construction environment; or equivalent combination of education and experienceHS diploma or GED equivalentProficient in MS Office SuiteProficient communication interpersonal / organization skillsMust be able to multi-task, work with minimal supervision, follow written and oral instructions, show attention to detail and demonstrate problem-solving skillsMust adhere to all company policy and proceduresMust be available to work assigned schedules and extended hours as needed including day, evening, weekend, and holiday hoursThe work environment and physical demands required would be representative of those that must be met by an employee to successfully perform the essential functions of this job, and may include, but are not limited to the following :
