Summary / Objective :

Provides overall administrative support to the Commissioning Manager and service department personnel.

Essential Functions :

  • Coordinate service resources
  • Schedule personnel, materials, sub-contractors and equipment based on project needs, skill sets, and availability
  • Schedule warranty work from other departments in the company
  • Order equipment and materials for the field
  • Interact with the warehouse and shipping department, as necessary - notify responsible parties when parts have arrived
  • Prepare presentations and confidential financial documents
  • Set up new jobs for review and execution and maintain documentation throughout the course of the job
  • Answer phone to assist customers and technicians
  • Assist with proposals, making copies of drawings, acquiring permits, obtaining special project job numbers and submittals
  • Assist with administrative duties to Account Managers
  • Assist with the creation of employee accounts in multiple company databases
  • Correspond with various departments within the company
  • Provide basic IT troubleshooting
  • Perform other duties as assigned
  • Supervisory Responsibility : No

    Required :

  • 1 - 2 years' administrative experience in a construction environment; or equivalent combination of education and experience
  • HS diploma or GED equivalent
  • Proficient in MS Office Suite
  • Proficient communication interpersonal / organization skills
  • Must be able to multi-task, work with minimal supervision, follow written and oral instructions, show attention to detail and demonstrate problem-solving skills
  • Must adhere to all company policy and procedures
  • Must be available to work assigned schedules and extended hours as needed including day, evening, weekend, and holiday hours

    Work Environment :

  • Works in a professional office environment and routinely uses standard office equipment
  • Position may require visits to construction site
  • Physical Demands :

  • This role routinely uses standard office equipment such as computers, phones, photocopier, filing cabinets and fax machines
  • Travel :

  • May require infrequent travel (typically not overnight)
  • Preferred :

  • Prior military experience
