Dermatology Front Desk Coordinator

Job Responsibilities
- Patient and Provider Support : Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients, respective providers, and fellow colleagues. Lead by example, maintains office presence and highest level of professionalism. Communicate with patients, team members, and providers in a respectful and courteous manner.
- Operational Duties : Accurately complete beginning and end of day checklists daily. Maintain a clean and neat waiting room area : trash is removed as needed, product display area is neat and maintained, signage, brochures, and other materials are properly hung up and organized, and if applicable, TV slideshow and music is appropriately playing. Notify the General Manager of all patient complaints or issues. Have thorough knowledge of procedures performed at the office.
- Inventory Management : Assist as needed in office inventory count. Notify GM when inventory needs to be ordered and / or adjusted for any reason. Assist as needed in ordering office and medical supplies.
- Documentation and Patient Management : Assist in ensuring the creation of new medical records for each patient. Obtain all necessary copies of insurance cards, referrals, and demographic information. Maintain a neat and orderly work area throughout the front desk, keeping sensitive patient information out of view and shred once uploaded to EMR or other system. Verify insurance eligibility and participation at time of schedule and patient check in. Accurately communicate patient financial responsibility including co-pays, deductibles, and out of pocket costs. Assist patients with insurance related inquiries, including explaining referral requirements, prior authorization status, and coverage guidelines for scheduled services or procedures.
- Patient Interaction : Execute working knowledge of HIPAA privacy laws by protecting patient information during phone calls, discussing information quietly with patients at front desk or defer to a GM to discuss matters with patient in an exam room, and shredding sensitive materials. Maintain confidentiality of all patient and employee information. Ensure that all scheduling, cancellations, and confirmations are being done appropriately, including appointments via Zoc Doc and other booking platforms. Make outgoing calls for patient retention purposes.
- Financial Responsibilities : Take patient payments including balance collections, deposits, and point of service collections. Complete daily financial tasks, including accurate cash handling, entering charges and payments, and ensuring cash is properly accounted for at the end of each shift. Handle petty cash and deposit all collected payments securely.
- Phone and Communication Management : Ensure all tasks and Klaras are responded to in a timely manner and patient follow up is completed. Answer incoming phone calls within three rings and monitoring office voicemails. Check individual work email, office email, and office scan inbox, handling time sensitive emails immediately or communicated need for support to GM.
- Administrative Duties : Complete all required training and continued education opportunities within the allotted time frame. Cross train in Medical Assistant duties. Assist in covering clinical duties when needed. Assist in training new hires. Attend mandatory company and office meetings. Working knowledge and application of OSHA compliance.
- Other duties as assigned by supervisor on an as needed basis.
Qualifications
Experience using EMR software and patient scheduling systems preferred.Prefer prior experience working in a dermatology / medical environment preferred.High School Diploma or GED required; advanced education is encouraged.Must be computer savvy and familiar with Microsoft Word, Excel, and Outlook.Strong communication, interpersonal, and organizational skills.Excellent patient relations and customer services skills.Must be professional, reliable, and dedicated employee.Working knowledge of HIPAA & OSHA compliance.From time to time, operational business needs (e.g. training sessions, emergency coverage issues, etc.) may require employee travel to alternate locations within a reasonable distance based upon GM or RM discretion.
