Administrative Operations Coordinator

We're looking for someone who can help our local Office teams across the company work smarter and more consistently. This role focuses on improving the office processes : customer service, billing, and (we should be clear on what is included in the office function and be clear). You'll also help lead centralized programs like price protection and heating assistance.

While you won't directly manage the Office teams, you'll play a key role in shaping how we workhelping teams adopt best practices, use systems effectively, and continuously improve. This is a great fit for someone who understands office operations and enjoys making things more efficient through collaboration and problem-solving.

Key Responsibilities :

  • Support Office Teams : Partner with our office teams to improve how work gets done and make processes better and more consistent across locations.
  • Lead Central Programs : Coordinate company-wide office activities such as price protection, energy assistance, and select billing and payment processes.
  • Drive Process Improvement : Identify pain points, recommend solutions, and support implementationespecially where new tools or automation can help.
  • Create and Share Best Practices : Develop clear standards, training materials, and tools that help local teams follow consistent, effective workflows.
  • Support Technology Changes : Collaborate with IT to enhance or update systems and ensure changes support business needs. Participate in testing and feedback.
  • Track and Report Performance : Monitor key metrics, identify trends or gaps, and recommend ways to improve results.
  • Assist with Acquisitions : Help integrate new locations into our standard office practices and systems.
  • Collaborate Across Departments : Work with shared services like Accounting, HR, and IT to align efforts and troubleshoot issues.
  • Ensure Compliance : Help ensure processes align with safety, regulatory, and environmental requirements.
