ACCOUNTING CLERK
Department : Accounting
Reports to : VP of Accounting and Finance
Division : Hybrid
Classification : Hourly / Nonexempt / Part -Time or Full-Time
JOB SUMMARY :
Computes, classifies, records, verifies, and processes numerical data to maintain accounting records. Facilitates customer invoices and vendor payables, and supports the Accounting Team with general clerical duties, including minor administrative and business details.
ESSENTIAL FUNCTIONS
- Assists with sorting and entering accounts receivable transactions and invoice mailings
- Provides Milsofts ACH / EFT information to customers and assists with entering accounts receivable ACH / EFT and paper check payments in Milsofts accounting software
- Prepares and makes daily bank deposits
- Assists with creating accounts receivable invoices and mails monthly invoices to customers
- Works with customers to resolve outstanding accounts
- Assists with updating customer and vendor account information in Milsofts accounting software and CRM system daily to ensure information is accurate and up to date
- Records customer support, subscription, and other cancellations for reporting purposes
- Prepares W-9s for customers and requests W-9s from vendors
- Requests and stores Customer Tax Exemption Certificates as necessary
- Assists with reporting and paying individual state sales and use taxes
- Assists with variable data reporting
- Assists with monthly credit card reconciliation
- Maintains consistent and professional attendance, appearance, and punctuality, and adheres to health and safety standards
- Upholds, safeguards, and promotes Milsofts values and philosophy relating particularly to ethics, integrity, and corporate responsibility.
- Other related duties may be necessary and assigned from time to time, and will not change the scope of the job
QUALIFICATIONS
Bachelor's degree is preferred, and / or at least five years of related experience and / or training.Must exhibit a high level of trustworthiness and be able to maintain confidentialitySuperior organizational skills with high attention to detail and accuracyMust possess good citizenship traits when dealing with customers and co-workersExcellent verbal and written communication skills are a mustMust possess superb teamwork skills and be able to navigate diverse personalities successfullyBasic computer skills are required. Knowledge of QuickBooks is desirable.
