Key Responsibilities :
- Assist the Office Manager and dispatch with scheduling service appointments and dispatching technicians.
- Answer and route incoming calls; respond to customer inquiries with professionalism.
- Maintain and update customer records, service logs, and job files.
- Prepare and process work orders and purchase orders.
- Track inventory and order office supplies as needed.
- Coordinate with technicians to ensure timely job completion and documentation.
- Support payroll and timekeeping processes by collecting and verifying technician hours.
- Help manage vendor relationships and service contracts.
- Perform general office duties such as filing, scanning, and data entry.
- Assist with customer follow-ups.
Qualifications :
High school diploma or equivalent; associate degree preferred.12 years of administrative experience, preferably in the HVAC or construction industry.Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with HVAC software is a plus.Strong communication and organizational skills.Ability to prioritize tasks and work independently.Customer service mindset with a positive, team-oriented attitude.Physical Requirements :
