Were looking for a detail-driven, fashion-loving Buyers Administrative Assistant to join our
growing team. This role is a key connection between our buying operations and both our
in-store and online experiences ensuring every new arrival flows seamlessly from purchase
order to shop floor.
Responsibilities
Purchase Order Entry : Accurately enter and maintain purchase orders (POs) with
precision and timeliness. Enter items into Shopify and related apps (like Stocky and
Multi-Label Barcodes) while keeping product data organized and consistent.
Product Setup : Create and prepare new products on the backend of Shopify so theyre
fully optimized for upload to the Grace website. Verify pricing, vendor information, SKUs,
and barcodes are accurate.
Receiving Shipments : Receive and process incoming merchandise, verifying accuracy
against POs and resolving discrepancies.
Product Management : Print and apply sample tags, organize and prep products for the
sales floor, and assist with managing warehouse inventory and coordinating
replenishments to the store.
Cross-Team Collaboration : Communicate confidently between buyers and marketing
to keep new product launches organized and on track.
Buying Support : Accompany the Buyer to buying meetings and market
appointments, taking notes, organizing purchase details, and helping ensure selections
align with the Grace aesthetic.
Requirements
Exceptionally organized, detail-oriented, and able to manage multiple priorities in a
fast-paced environment.
Strong understanding of the fashion industry and a natural eye for style, trends, and
presentation.
Familiarity with Shopify, Stocky, and other retail management systems preferred.
Reliable, proactive, and comfortable working both independently and collaboratively.
Excellent written and verbal communication skills.
Comfortable with hands-on inventory and administrative tasks.
Must be available in person, Monday through Friday, at the Grace office.
Previous experience in retail operations, buying, or eCommerce is a plus.
