Job Summary : Assist the Accounting Manager and Director of Finance and Administration in maintaining the accounting records and ensuring the fiscal health of the agency.
Major Activities :
- Incorporate best practices regarding confidentiality into all job duties and communications in accordance with Article 27-F, Alliance for Positive Health policies and procedures and other applicable regulations. Observe and abide by the HIV Confidentiality Law.
- Prepare and process monthly and annual journal entries.
- Assist in the monthly closing of the Agency’s financial statements.
- Assist in financial reporting and analysis as needed.
- Assist the Accounting Manager and Director of Finance and Administration with analyzing accounting procedures and methods and other fiscal related activities.
- Prepare schedules as requested for the Agency’s annual financial statement audit, Single Audit Report, Form 990 filing, and Form 5500 filing.
- Oversee Bank Reconciliations for Agency bank accounts.
- Approve and prepare expense reimbursements through the Agency’s payroll system.
- Work in coordination with the Health Homes Program Assistant to reconcile monthly Health Home revenue and receivable
- Assist with maintaining the monthly allocations of employees to grant funded programs across the Agency to support and ensure the accuracy of the Agency allocations used as the basis for grant vouchering.
- Prepare / Review monthly vouchers for grants and contracts as assigned.
- Assist with ensuring that contract spending is appropriate to the work plan and budget for each approved contract.
- Working closely with Program Staff, to ensure that program funds are effectively maximized and accounted for by participating in monthly Program / Finance budget review meetings.
- Assist the Director of Finance and Accounting Manager to ensure that, in compliance with the funder’s policy, all vouchers submitted by the Agency pursuant to the Agency’s Master Contract for each State grant are submitted to the State Agency no later than thirty (30) days after the end date of the period for which reimbursement is claimed.
- Assist the Director of Finance and Accounting Manager to ensure that final / close out vouchers are submitted per DOP / AI policy and State of New York Master Contract language and submit them no later than 60 days after the end of the contract period, recognizing that all obligations must be incurred prior to the end date of the contract.
- Assist with the preparation of grant budgets and budget modifications for State funded grants and contracts.
- Assist the Accounting Manager and Director of Finance and Administration with special projects as requested.
- Work with the Accounting Manager and Director of Finance and Administration to ensure a healthy fund balance.
- Other duties as assigned.
Qualifications :
Bachelor’s Degree in Accounting or Financial Management orAssociate’s Degree in Accounting or Financial Management, and three to five years of experience in a non-profit environment and state funding reimbursement procedures.Knowledge, Skills and Abilities Required :
Experience with Oracle NetSuite ERP or similar ERP systems.Experience with ADP or similar payroll systems.Experience with managing the fiscal aspects of NYS and Federal grant programs preferred.Proficient with MicroSoft Office products (Excel, Word, Outlook)Able to maintain fiscal and management confidential information preferredAbility to organize, prioritize, manage multiple priorities, while taking a “best-practices” approach to the work.Self-starter with an ability to work independently.Strong attention to detail.Ability to take direction and have flexibility to work in a fast-paced office.Ability to interact with people from diverse backgrounds within a climate of mutual respect, inclusion, enrichment, and growth.Employment Classification : Non-exempt. Positions : Full-time 37.5 hours
