Key Responsibilities :
- Provide comprehensive administrative support to the team, including managing schedules, preparing documents, and handling correspondence.
- Answer and direct phone calls, manage emails, and serve as the primary point of contact for internal and external inquiries.
- Maintain and organize physical and electronic filing systems to ensure data accuracy and accessibility.
- Assist with meeting coordination, including scheduling, preparing agendas, and taking minutes during meetings.
- Manage supplies inventory, including ordering and stocking office equipment and materials.
- Support special projects, prepare reports, and assist with customer or client inquiries as needed.
- Ensure the office environment is presentable and runs efficiently.
Qualifications :
Previous experience as an Administrative Assistant or in a similar role is preferred.Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).Excellent written and verbal communication skills.Exceptional organizational skills and the ability to multitask in a fast-paced environment.Demonstrated ability to handle confidential information with professionalism and discretion.High school diploma or equivalent required; additional qualification as an Administrative Assistant or Secretary is a plus.Proven experience in administrative support or office management roles.Excellent organizational skills and attention to detail.Strong communication abilities, both verbal and written.Proficiency in managing inbound calls and directing inquiries appropriately.Familiarity with data entry and database management.Ability to multitask and prioritize tasks efficiently in a fast-paced environment.A focused and approachable demeanor, along with interpersonal skills to interact effectively with visitors and team members.Willingness to adapt to new challenges and take on varied responsibilities.
