Summary
As the first point of contact and face of the organization, the receptionist is responsible for reflecting the Company's culture with a positive image when interacting with all guests while ensuring office administrative tasks run smoothly at all times in order to facilitate effective overall business operations.
Essential Duties & Responsibilities
Front Desk : Effectively and efficiently answers, screens and routes all incoming and internal calls on a multi-line telephone system. Welcomes and greets employees, guest and vendors. Provides preliminary information to visiting or on-phone guest relating to Support Center employee's availability, work hours or location, restaurant hours of operation, restaurant locations and various other information relating to the restaurants or the concept in general. Assists in resolving guest issues and complaints. Acts as a liaison between departments and provides clerical support to as as needed.
Monitors back door for vendors and guests and assures all guest are accompanied by an employee. Supports HR Department on various projects and assignments. Performs data entry and filing activities. Coordinates tasks within office as needed. Follows all security procedures.
Mail Room : Sorts, distributes and assures all incoming correspondence or packages are received by the appropriate parties in a timely fashion. Assures mail machine is stocked with ink, water and tape. Reports maintenance issues. Prepares all outgoing FED-EX packages for shipment. Coordinates and facilitates by-weekly mass Fed-EX mailings to restaurant locations.
Copy Room : Assures copy machines and faxes in mailroom and copy room are stocked with paper and in good working conditions. Performs light maintenance on equipment as needed. Schedules all copy room machines' maintenance as needed.
Administration : Tracks, monitors all Federal Express packages. Assures U.S. Mail is received and picked-up on time daily. Records, distributes and summarizes all comp requests and movie passes. Sends out monthly comps to the field. Keeps reception, mail and copy rooms neat and tidy on a constant basis. Assures all packages are removed from the receptionist, mailroom, copy room and back door area. Supports HR Department on various projects. Orders all of the office supplies for the corporate office on a weekly basis.

Qualifications

Education and / or Experience : Must have 2+ years related experience or equivalent combination of education (AA degree from a Jr. college or university in combination with 1 year of experience).
Language Skills : Ability to read and interpret general business periodicals, professional journals, company policies and procedures. Ability to write reports and general business correspondence. Ability to effectively present information and respond to questions from managers, employees, vendors, and the general public.
Mathematical Skills : Ability to apply basic mathematical concepts and mathematical operations to practical business applications.
Reasoning Ability : Ability to solve practical problems and deal with a variety of concrete variables in situations applying standardized procedures. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills : To perform this job successfully, an individual should have knowledge of MicroSoft Office Suite software; specifically Word and Excel. Additionally, PowerPoint and Project would be preferred.
