Academic Operations Assistant, Darden School Of Business
The University of Virginia Darden School of Business, one of the world's leading business schools, seeks a part-time Academic Operations Assistant to support senior academic leadership in our Rosslyn, VA location. This position primarily supports the Vice Dean and Senior Associate Dean for Professional Degree Programs, providing confidential administrative and operational support. The successful candidate will apply strong and proactive organization skills to oversee integrated calendar management, project management, executive communications, global and domestic travel, and procurement responsibilities. The ability to communicate and work using a variety of technologies with a staff that may not always be physically present is required. This position interacts with leaders and their administrative teams at Darden and the University of Virginia, as well as external stakeholders, to ensure the highest strategic impact calendars, daily schedule and engagements. In addition to supporting the Vice Dean, this role will also provide support to the Professional Degree Programs delivery and DC Initiatives teams, as needed. This is a part-time position (averaging 30 hours per week, not to exceed 1500 hours per year) and is not eligible for benefits. Specific duties and responsibilities :
- Strategically manages the calendar process to maximize impact that can include setting up meetings, being responsive to meeting requests, prioritizing requests, and maintaining time on calendar for project work and time sensitive matters.
- Manages workflows and engagement with Darden Enterprise departments to ensure that there is timely management of priorities, follow-through and processes.
- Prepares agendas for meetings and appropriate follow-up, organizes and designs management / tracking systems.
- Ensures high-impact executive communication, assisting with presentations and reports and managing e-mail and email responsiveness.
- Maintains awareness of administrative tasks requiring attention. Helps set priorities around conflicting requests and provides reminders for timely follow-through.
- Manages the flow of meeting requests, review of impact, and necessary scheduling.
- Coordinates and handles all travel arrangements as requested. Processes travel reimbursements and expenses.
- Keeps leadership advised of events and issues as appropriate.
- Ensures there is scheduled time each day to allow proactive, answer emails, spontaneously interact with stakeholders, and solve problems.
- Establishes and maintains a tracking / reporting process for all ongoing projects and tasks.
- Maintains awareness of administrative tasks requiring attention and follows up with internal stakeholders to ensure timely and efficient completion.
- Supports the Professional Degree Program team with events and other support as needed.
This is a wage position which is not eligible for leave or other benefits and is limited to 1500 hours of work in a year. Education and Experience :
High School Graduate or equivalent and 3+ years relevant experience required.Bachelor's degree and experience supporting a senior executive preferred.Knowledge, Skills and Abilities :
