An exciting opportunity is available to join our Flight Coordination Team! Would you like to join our dedicated team providing luxury helicopter charter and management?

As a Flight Coordinator you will serve as a central point of contact for the Helicopter Flight Operations. You will interact with the department manager, executives, employees, and customers while providing the highest degree of customer service, confidentiality, and attention to detail. You will execute all aspects of flight scheduling, office administration, Weather, FAA regulation and company policies and procedures, to include that of AAG, oversight of department staff scheduling, as well as assist in the assignment of aircraft and the overall schedule.

What you will do

• Oversight of department staff scheduling and assist in the approval of time of requests
• Assist in the scheduling and stacking of trips in accordance with regulations, company policy and with an emphasis on efficiencies and cost reduction.
• Receive trip requests via email and / or phone and build with detail and accuracy
• Interact / communicate with customers internally and externally with a high degree of professionalism
• Provide quotes for charter inquiries
• Produce various reports for company departments and clients
• Liaison with Director of Operations and / or Chief Pilot regarding new landing sites, safety and security policies, Temporary Flight Restrictions (TFRs)
• Process Waivers for sporting events
• Manage flight schedule with efficiency and knowledge of client ownership
• Partner with the Director of Maintenance for availability of aircraft
• Flight Follow all aircraft movements
• Assist accounting with bill reconciliation
• Overnight On Call responsibility
• Crew briefing
• Monitor crew duty time
• Secure ground transportation and hotel reservations for crew members
• Secure ground transportation for clients if applicable
• Maintain whiteboard flight schedule in alignment with scheduling application
• Process credit card authorization documentation for charter payments
• Secure permission for use of managed aircraft
• Communicate aircraft schedule / movements with satellite bases
• Provide electronic flight documentation to satellite crew members
• File trip sheets / invoices
• Support a teamwork atmosphere
