About PAFA

Founded in 1805, the Pennsylvania Academy of the Fine Arts (PAFA) is the first art school and museum in the United States. Today, we are not only a leader in American art and arts education but also a dynamic hub for creative talent and institutional innovation. As we enter an exciting period of growth, PAFA is modernizing its technology stack to create a next-generation ERP-like environment that integrates Sage Intacct, Raiser's Edge, Populi, Acme CRM, and Omatic as a connector. This transformation will strengthen our operations and empower our staff, students, and audiences like never before.

Position Summary

The Database & Systems Manager will serve as the steward of PAFA's enterprise data systems, ensuring integrity, accessibility, and strategic use of information across the organization. This role is perfect for a forward-thinking professional who thrives on connecting systems, enabling data-driven decision-making, and training colleagues to maximize the power of integrated platforms.

You will manage and innovate PAFA's ERP-like environment-bridging finance, fundraising, academic, and customer relationship management systems-while supporting leadership and staff with critical analytics, reporting, and cross-departmental data flow.

Key Responsibilities

  • Implement and monitor policies and procedures for data handling, information flow, and system security.
  • Oversee and maintain database structures, data standards, and record integrity across all systems.
  • Develop complex queries, exports, imports, and custom reports to meet operational and strategic needs.
  • Provide training, guidance, and leadership in the use of PAFA's database systems to advance institutional goals.
  • Partner with management to assess and analyze data for strategic decision-making.
  • Plan and coordinate system upgrades, data conversions, and middleware integrations (with Omatic as a connector).

Skills & Qualifications

  • High-level proficiency in Blackbaud products (Raiser's Edge, Financial Edge, SIS) and strong experience with Microsoft SQL, Excel, Access, and Word.
  • Experience with Sage Intacct, Populi, Acme CRM, or similar platforms strongly preferred.
  • Demonstrated success in database design, reporting, and analytics.
  • Familiarity with APIs, middleware products, and data integration best practices.
  • Excellent problem-solving, communication, and organizational skills.
  • Bachelor's degree in Computer Science, Information Systems, or related field preferred (or equivalent experience).
  • 5+ years of related experience, preferably in a non-profit or educational setting.
  • Certifications such as bCRE and / or bCFE a plus.
  • Why Join PAFA?

This is a transformative moment at PAFA. You'll be at the center of a major institutional shift toward a fully integrated, ERP-like ecosystem that will power finance, fundraising, academics, and community engagement. If you're excited about leveraging technology to make an immediate impact in the arts and higher education sector, this role is for you.
