The Opportunity : Event Logistics Coordinator
1099- Contract, Full-Time (40 Hours per Week - Onsite weekends and evenings)
Event Planning and Logistics Coordination
- Collaborate with clients, stakeholders, and internal team members to plan and execute events of varying sizes and scopes.
- Document and track event themes, timelines, budgets, and ensure alignment with plans.
- Coordinate logistics including catering, audio / visual, production, and vendor relations to maintain quality standards.
- Serve as the primary point of contact for event-related inquiries and oversee on-site event staff, vendors, and volunteers.
- Manage delivery schedules, load in and load out logistics and vendor access requirements.
- Coordinate pre-event site visits, vendor walk throughs and client inspections.
- Coordinate tasks and workflows with production assistants.
- Provide ongoing client support and updates throughout the event planning process.
- Oversee event setup, strike and all logistical aspects on event day.
Event Operations and Documentation
Prepare and distribute event logistics documentation (run-of-show, load in and out schedules, staffing rosters etc.)Support data entry and management within the Triple Seat event system for public and private events.Facilitate scheduling for tours and ticketed events, ensuring capacity requirements are met.Support contract execution, permitting and compliance with venue and city regulation.Maintain accurate inventory records and track usage.Compliance and Safety
Ensure all event activities comply with health and safety standards, venue policies, and emergency response plans.Coordinate with security and facilities team for event specific needs.Verify compliance with liquor licenses, fire codes and other regulations.Collect Certificate of Insurance (COI's) and ensure all vendor compliance documentation is submitted.Qualifications
Bachelor's Degree in Event Management, Hospitality, Communications, Business Administration (or related field or equivalent experience)2-4 years of experience in event planning, logistics or production coordination.Experience working with vendors, production teams, and client facing roles preferred.Proficient with event management software (Tripleseat, Social Tables, Cvent or Monday.com)Excellent organizational and project management skills, ability to juggle multiple events simultaneously.Strong written and verbal communication skills for client and vendor interactions.Ability to troubleshoot and problem-solve quickly in fast- paced environments.Flexibility to work evenings, weekends and extended hour as required by events.
