Lead Response & Appointment Coordinator
Location : Fife, WA Employment Type : Full-Time Compensation : $22–$24 per hour
About the Role
We’re looking for a fast, detail-oriented Lead Response & Appointment Coordinator to support our Inside Sales operations. In this role, you’ll ensure every lead is followed up quickly, appointments are confirmed accurately, and all communication is handled with professionalism and care.
Your mission : Speed to Lead — respond, verify, and follow up with leads as quickly and accurately as possible, creating a seamless and positive experience at every touchpoint.

What You’ll Do 1. Lead Follow-Up & Speed to Lead
Review and manage incoming leads from Hatch and other platforms.
Prioritize immediate outreach to maximize conversions and minimize delays.
Maintain detailed records of lead interactions and outcomes.
Conduct daily outbound follow-up with professionalism and urgency.
Represent our brand with integrity and consistency.
2. Appointment Confirmation & Qualification
Confirm all appointments with clarity and professionalism.
Ensure all decision-makers (homeowners) are committed to attending scheduled appointments.
Proactively handle objections using scripts and proven frameworks.
Review call recordings to assess qualification and intent.
Verify property ownership using County Assessor databases or similar tools.
3. Communication & Coordination
Manage and respond promptly to all incoming emails and messages.
Schedule new appointments and follow up with warm leads as needed.
Maintain a high standard of responsiveness, empathy, and attention to detail.
Collaborate with internal teams to ensure seamless communication and follow-through.
What You Bring
Proven experience in lead follow-up , sales support , or appointment setting .
Excellent communication skills — both verbal and written.
Strong organization and time management abilities.
Confidence in handling objections and securing commitments.
Familiarity with CRMs, email platforms, and communication tools (e.g., Hatch).
Ability to verify property ownership through public records.
Self-motivated, detail-oriented, and highly responsive.
A true team player who values collaboration and a positive work culture.
Bonus Points
Experience using property lookup or county assessor tools.
Familiarity with reviewing call recordings for quality assurance.
Prior experience ensuring multiple decision-makers are present for sales appointments.
Roofing Industry experience, or in home sales experience.
