Position Title : Quality Assurance Clerk
Location : Fred G. Acosta Job Corps Center Tucson, AZ
Reports To : Outreach and Admissions Supervisor
The Quality Assurance Clerk position provides support for a U.S Department of Labor Job Corps contractor. The Job Corps program is a federally-funded residential training program. The mission of Job Corps is to provide career-ready technical and academic training and job placement assistance to program eligible youth ages 16-24.
Summary of Duties :
The Quality Assurance Clerk is responsible for performing a wide range of administrative duties and provides quality assurance (QA) activities to facilitate the efficient operation of the Outreach and Admissions function.
The Quality Assurance Clerk Must :

Key Areas of Responsibilities :
Attends meetings regarding tours, weekly intakes, and to discuss center OBS.Assists with center tours, focus groups, orientations, and pre-arrival activities.Acts as a liaison between centers, students, parents, and general public.Communicates to the Outreach / Admissions Supervisor any special requests made by center regarding OBS, change in intakes, wait lists, and trade availability.Acts as liaison for Job Corps with the public, youth, and social service agencies.Develops personal contact with referral sources, youth organizations and community support agencies.Adheres to strict enrollment process and procedures outlined by the Department of Labor for the Job Corps program.Ensures student eligibility and acceptance of youth for enrollment into the Job Corps program.Provides follow-up on all prospective students awaiting assignment and ensures that students maintain their interest in the program.Assists with pre-arrival orientations and ensures that all applicants arrive to the center by following established process and procedures.Conducts quality review of all folders ready for assignment to ensure folders are completed in accordance with the Policy Requirements Handbook, Chapter 1.Reviews the electronic files in OASIS to ensure eligibility and other pertinent documentation is accurately uploaded to the system.Based on PRH guidelines, collects and verifies all required applicant documentation to determine eligibility for Job Corps.Negotiate inputs with Center to ensure the contract meets arrival goals and applicants are served as prescribed in the PRH.Assists in preparing performance reports for monitoring staff productivity.Prepares weekly report on files sent to centers and students pending arrivals and no-shows.Assists OA Supervisor with preparing monthly report on female arrivals, total arrivals, 45-Day Level 1ZT and 90-Day retention reports.Collects projected arrival needs and communicates and coordinates the pending arrival report with Admissions Counselors.Provides data collection and coordination of reports to the Regional Office.Contacts and assigns Online Prospects and SCOUT Unassigned Prospects within one business day. Enters information in the OASIS system.Answers phone calls and provides accurate information about the Job Corps program to potential applicants, parents, agency representatives, and the general public.Mails and emails informational packets and brochures as requested by callers.Demonstrates the ability to perform secretarial duties, i.e., typing, dictation, correspondence, preparing reports, memos.Communicates appropriately and clearly to the supervisor and co-workers.Maintains a good working relationship both within the department and with other departments.Demonstrate the ability to schedule meetings between departments, directors / supervisors.Demonstrates the ability to be flexible, organized and function under stressful situations.Organizes team meetings, agendas and lunches.Other duties as required by the DOL, Corporate Office and Center.Education / Experience :
High School Diploma RequiredAssociates Degree preferredTwo years of experiencePossess computer proficiency and excellent communication skillsCertifications / Licenses :
