Sales and Marketing Coordinator
Location : High Point Residence Chicago Northwest
Position Summary
The Sales and Marketing Coordinator supports the Sales and Marketing Director in promoting the community, maintaining census goals, and ensuring a smooth, welcoming experience for residents and families. This position assists with referral tracking, community outreach, event coordination, and move-in logistics while helping to maintain positive relationships with residents, families, and referral partners.
The ideal candidate is highly organized, personable, and motivated to make a difference in the lives of seniors and their families.
Key Responsibilities
Sales & Marketing Support
Assist the Sales and Marketing Director in implementing the annual marketing and outreach plan.
Help maintain and update referral, inquiry, and move-in tracking systems.
Support with community tours, follow-up calls, and inquiry responses.
Prepare and maintain marketing materials, brochures, and presentation packets.
Assist with internal and external marketing initiatives, including social media posts, mailings, and community events.
Track satisfaction feedback and report any concerns that may affect referrals or resident experience.
Participate in weekly census and marketing review meetings.
Move-In Coordination
Coordinate the move-in process by ensuring pre-admission paperwork is completed and residents / families receive necessary information.
Communicate with team members across departments (nursing, maintenance, dietary, etc.) to prepare for new resident arrivals.
Follow up after move-in to ensure resident satisfaction and smooth transitions.
Maintain an organized system for pre-admission packets and records.
Community Outreach
Represent the community at health fairs, networking events, and community gatherings.
Support planning of luncheons, presentations, and events for referral sources.
Build and maintain positive relationships with local hospitals, senior centers, physician offices, and case managers.
Assist in developing partnerships and promoting the community’s services and programs.
Qualifications
High school diploma or equivalent required; associate degree preferred.
Previous experience in senior living, healthcare, or customer service setting preferred.
Strong communication, interpersonal, and organizational skills.
Ability to multitask and manage time effectively.
Professional and compassionate demeanor when interacting with residents, families, and staff.
Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn CRM software.
Physical and Environmental Requirements
Frequent walking, standing, and bending.
Ability to lift up to 25 lbs occasionally.
Must be able to work in a busy, resident-focused environment with frequent interruptions.
Occasional local travel for outreach and events.
