The Real Estate Operations Manager is a key leadership role within the Gold To Sold Group , responsible for overseeing and optimizing the daily operations of our high-performing residential real estate team. This individual ensures that all processes, systems, and team functions run efficiently and at the highest standard—supporting the team’s mission to deliver the gold standard in real estate service .
This role is ideal for someone with strong operational, administrative, and leadership skills who thrives in a fast-paced, team-oriented environment. The Operations Manager will work closely with the Marketing Director and Virtual Assistant (VA) to build, support, and scale a dynamic, productive, and client-centric team.
Reports To : CEO / Team Lead
Collaborates With : Virtual Assistant (VA), Marketing Director, Agents, Transaction Coordinator
Compensation : $50,000 - $70,000
Responsibilities :
Daily Responsibilities :
- Oversee the flow of transactions from contract to close, ensuring timelines, documentation, and compliance standards are met
- Monitor and manage CRM usage (Lofty) and pipeline reporting
- Coordinate weekly team meetings and productivity tracking
- Supervise scheduling, calendar management, and logistics for showings, open houses, team trainings, and appointments
- Provide administrative support for the team, including maintaining systems, handling correspondence, and organizing digital files
- Support the onboarding and training of new agents and staff
- Implement and oversee listing and transaction systems with the VA
Financial Duties :
Track and report team financial metrics, including GCI, agent production, expenses, and ROI on lead sourcesCollaborate with bookkeepers / accountants to ensure proper categorization of business expensesAssist with budget creation and adherence, vendor management, and cost-saving opportunitiesManage commission disbursement paperwork, referral tracking, and bonus structuresManagement Duties :
Oversee the Virtual Assistant and other support staff, providing clear direction, regular check-ins, and performance feedbackAssist in building and maintaining team culture, systems, and accountability structuresManage vendor relationships (e.g., photographers, signage companies, tech tools)Ensure consistent application of operational procedures across all agents and admin staffLeadership Responsibilities :
Act as the right hand to the Team Leader, serving as a key integrator and problem solverAlign team operations with the strategic goals and core values of the Gold To Sold GroupIdentify opportunities for improvement and implement new systems or workflows to enhance efficiency and serviceFoster a positive, growth-minded team culture and support professional development across the teamParticipate in strategic planning and goal setting with the leadership teamProcess & Systems Management :
Develop, document, and refine standard operating procedures (SOPs)Track and manage KPIs and team dashboardsEnsure seamless lead flow, assignment, and follow-up via CRM automationStreamline listing and transaction processes with consistent checklists and templatesCollaborate with the Marketing Director to align listing launch timelines and marketing initiativesAdministrative Duties :
Maintain team documents, licensing info, and compliance filesHandle incoming inquiries, file management, and database hygieneCoordinate team calendar, event planning, and team appreciation effortsAssist with email and communication management for the Team Lead as neededQualifications :
Ideal Candidate Must Have :
2+ years of real estate operations experience (residential team-based)Excellent organizational and time-management skillsStrong leadership qualities with a calm, solutions-oriented demeanorHighly tech-savvy and adaptable to new toolsPassion for operational excellence and team buildingProven experience supporting high-volume sales teamsTechnology Requirements :
Proficiency in real estate CRMExperience with MLS systems and transaction platforms (e.g., Skyslope, Dotloop, Brokermint)Proficiency with Google Workspace (Docs, Sheets, Gmail, Calendar, Drive)Familiarity with project management toolsAbility to coordinate with VA on automations and task management toolsWorking knowledge of design platforms (e.g., Canva) to assist with branded materials when neededAbout Company
