Job Summary
The Admissions & Records Registrar supports adult learners by managing student records, overseeing enrollment, and ensuring accurate, compliant documentation from admission through graduation. The role collaborates closely with students, staff, and faculty to deliver a seamless experience.
Key Responsibilities :
Admissions & Enrollment
- Manage the admissions workflow, including applications, registration, and enrollment documentation.
 - Provide guidance to prospective and current students on enrollment procedures.
 - Ensure compliance with institutional policies, state regulations, EPIC requirements, and FERPA.
 - Manage student exits (withdrawals, transfers, graduation) to ensure complete, accurate records.
 - Coordinate with high schools (national / international) and colleges on transcript requests, verifications, and transfers.
 
Records Management
Maintain accurate, confidential student records (e.g., transcripts, grades, gradebooks, attendance).Process transcript requests, withdrawals, transfers, and graduation certifications.Track and verify attendance and enrollment status.Collaborate with faculty and staff to ensure timely data submission and updates.Analyze transcripts for course equivalency, academic progress, and graduation eligibility.Audit progress toward program or high school diploma completion.Data & Reporting
Generate enrollment, attendance, and performance reports for leadership.Prepare and submit data for accreditation, state reporting, and internal reviews.Use the Student Information System (SIS) to track admissions, grades, and completion status.Conduct data-quality checks and resolve discrepancies.Provide official enrollment, attendance, and graduation verifications to agencies, employers, and authorized third parties.Student & Staff Support
Serve as the primary contact for questions about academic records.Address inquiries related to transcripts, records, and graduation requirements.Troubleshoot issues and provide information that supports student success.Other Duties
Assist in developing and implementing policies and procedures for admissions and records.Support initiatives that improve student retention and completion.Perform other duties as assigned aligned to the schools mission and goals.Qualifications
Education & Experience
Associates degree in education, business administration, or a related field required; bachelors degree preferred.2+ years of experience in admissions, records management, or a related role (adult learner environment preferred).Experience administering SIS platforms and maintaining accurate student data.Certificates / Licenses
Valid drivers license required.Travel
Ability to travel between EPIC locations and community sites as needed.Language
Bilingual proficiency preferred.Work Environment
School-based role with work in offices, classrooms, and meeting areas; frequent interaction with students, teachers, and staff.Flexible hours may be required to accommodate adult learner schedules.Physical Demands
Mobility across campus to meet with staff and students.Occasional lifting / carrying of up to 25 lbs.Occasional bending / stooping / kneeling ; frequent use of computer and office equipment.Visual acuity for reading printed and on-screen materials.Effective verbal and written communication.Ability to manage multiple tasks, interruptions, and deadlines while maintaining a calm, professional demeanor.
