Administrative Assistant
This position will be Mon-Fri 8am - 4 : 30pm.
Hourly Rate : $20

- . Job Duties :
- Answers telephone calls in a timely fashion and directs calls to appropriate personnel or overhead pages when necessary.
- Orders supplies.
- Takes messages for staff when necessary and places in mailbox or voicemail.
- Directs and provides assistance to visitors as needed and ensures all visitors sign / screen -in.
- Monitors entrance doors, including remote Rehab door, to ensure facility security.
- Monitors safety measures in lobby to ensure residents do not exit from front lobby unless authorized.
- Composes, types and sends condolence letters to families.
- Prepares staff anniversary letters for HR.
- Prints / types daily packets, chronicles and dailies for Activities Dept.
- Prints orientation packets for HR.
- Sorts / distributes incoming faxes.
- Schedules quarterly care conference meetings for skilled residents and rehab patients.
- Notifies state Ombudsman of hospitalizations.
- Creates / Maintains the morning meeting excel spreadsheet.
- Updates daily census.
- Maintains resident sign in / out book, uploads sheets.
- Maintains the pet registration book
- Places Amazon orders for staff.
- Organizes & distributes mail daily for staff and residents.
- Creates staffing schedules for reception desk to ensure coverage.
- Calls alarm codes from fire panel
- Completes monthly beneficiary notices
- Maintains the front desk area and keeps it organized
- Complies with Lions Gate's Corporate Compliance Program.
- Responds to emergency situations using established protocol.
- Assumes all other responsibilities as designated by supervisor.
Job Requirements
High School Diploma or equivalent.Minimum 1 year experience working in a receptionist role.Ability to interact well with the public.Good phone skills and etiquette.Ability to communicate effectively in English, both verbally and in writing.Savvy in publisher and excel.Professional Requirements
Adheres to dress code, appearance is neat and clean.Completes mandatory annual education requirements (Corporate Compliance, HIPAA, In-service, etc.).Maintains and ensures compliance with current regulatory requirements, including all state, federal and regulations including OSHA safety protocol and standards.Maintains and ensures resident confidentiality at all times.Reports to work on time and as scheduled.Wears identification while on duty.Attends departmental in-services as required.Works at maintaining a good rapport and a cooperative working relationship with departments and staff.Represents the organization in a positive and professional manner.Resolves personnel concerns at the departmental level, utilizing the grievance process as required.Ensures compliance with policies and procedures regarding department operations, privacy, fire, and safety and infection control.Complies with all organizational policies regarding ethical business practices.Communicates the philosophy of the Home.Keeps work area neat, clean and orderly.Benefits : Health Insurance, Vacation and PTO available after completion of required hours worked.
