Job Description

Direct Counsel is representing a prestigious Am Law firm seeking an experienced IP Docketing Specialist. This position is open to all office locations and offers the opportunity to work with a sophisticated intellectual property practice, supporting a variety of domestic and international patent and trademark matters. The ideal candidate will have a minimum of 5 years of IP docketing experience within a law firm , with preference given to candidates familiar with CPi software , and will possess a strong understanding of USPTO, PCT, and international patent and trademark rules and procedures .

Core Responsibilities :

Accurately docket domestic and international patent and trademark deadlines, ensuring compliance with statutory, regulatory, and client-specific requirements.

Analyze patent and trademark documents, including applications, filing receipts, office actions, notices of allowance, Section 8 / 15 statements, issue notifications, and other communications, to identify and update all critical deadlines for assigned client portfolios.

Maintain and manage high-volume client portfolios, ensuring deadlines are properly tracked and communicated to attorneys and support teams.

Assist with the preparation and generation of reports from IP docketing software, including status updates and client-specific portfolio information.

Support inbound and outbound patent and trademark transfers, including reviewing portfolio data and assisting with relevant patent office formalities.

Navigate US and international patent and trademark databases to verify application details and retrieve necessary documents.

Set priorities and manage multiple projects effectively, demonstrating attention to detail and accuracy in all aspects of docketing and IP administration.

Proactively identify and implement process improvements to streamline IP docketing and portfolio management tasks.

Support attorneys with ad hoc IP-related tasks as required.

Other duties as assigned.

Skills and Qualifications :

Minimum of 5 years of IP docketing experience within a law firm environment.

Strong knowledge of USPTO, PCT, and international patent and trademark rules and procedures.

Proficiency in CPi docketing software strongly preferred.

Experience managing high-volume client portfolios and ensuring accuracy in all deadlines.

Exceptional attention to detail, organizational skills, and ability to prioritize multiple projects.

Strong verbal and written communication skills, with the ability to collaborate effectively with attorneys, staff, and clients.

Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

High School diploma required; college degree preferred.

Compensation and Benefits :

Salary : $70,000–$90,000 per year, depending on experience.

Work Arrangement : Onsite role with potential for flexible work arrangements depending on location. (3dys in office after 90dys)
