Human Resources Office Manager

About the Role
We are seeking a highly organized and dependable Human Resources Office Manager to support our HR department and leadership team. This role ensures the smooth, efficient, and professional operation of daily HR and office activities. The ideal candidate will handle a mix of HR administrative tasks and secretarial dutieshelping maintain accurate employee records, assist with recruitment and onboarding, coordinate meetings, prepare correspondence, and provide direct support to management and staff.
Core Responsibilities
Employee Records & Documentation
- Maintain and update confidential employee records, including new hires, transfers, evaluations, and terminations.
- Track attendance, PTO, and personnel data in HR systems.
- Prepare, file, and retrieve HR documents as needed.
Recruitment & Onboarding Support
Assist with posting job openings, scheduling interviews, and preparing offer letters.Help facilitate onboarding by coordinating orientation sessions and explaining company policies and benefits.Ensure all new hire paperwork is accurate and complete.Secretarial & Office Support
Perform general secretarial duties such as typing correspondence, drafting memos, taking meeting minutes, and maintaining organized digital and physical filing systems.Schedule appointments, coordinate meetings, and prepare meeting materials for the HR and leadership teams.Answer and direct phone calls, greet visitors, and manage incoming and outgoing mail.Prepare and distribute internal communications, reports, and other professional documents.Provide administrative support to executives and department heads as needed.Payroll & Benefits Assistance
Support payroll processing and benefits enrollment by maintaining accurate employee data.Respond to basic employee inquiries about benefits, PTO, and pay schedules.Compliance & Policy Adherence
Assist with maintaining compliance with HR policies, labor laws, and recordkeeping requirements.Ensure confidentiality and accuracy of sensitive information at all times.Employee & Team Support
Serve as a point of contact for employees needing HR-related assistance or information.Support internal communications and contribute to a positive, professional workplace culture.Key Skills & Qualifications
Strong secretarial and administrative skills, including document preparation and calendar management.Excellent organization and multitasking abilities.Professional communication and interpersonal skills (verbal and written).Proficiency in Microsoft Office, BambooHR, or similar HR and office software.Ability to maintain confidentiality, accuracy, and attention to detail.Previous experience in HR, administrative, or executive support roles preferred.Why Join Quality Moments Behavioral Health Services?
