Description : Job Purpose
The Inventory Systems Administrator is responsible for maintaining and improving the organization’s enterprise inventory systems and ensuring inventory data integrity across all platforms including ERP and warehouse inventory systems. This role supports system implementation, integration, and optimization and acts as a liaison between internal users and technical teams. The Administrator works across departments to enhance inventory workflows, provide user training, optimize systems, and create reporting to drive informed decision-making. They oversee compliance of inventory processes and data accuracy across all Three Square locations and ensure inventory control processes align with company standards, identify discrepancies, and implement corrective actions
The Inventory Systems Administrator may also engage with Feeding America, other food banks, and the community to ensure that Three Square is continuously progressing in the fight against hunger.
Essential Job Functions
- Oversee the maintenance and design of inventory and other related business systems (e.g., CERES, AGI, Bellwether).
- Monitor system performance and proactively troubleshoot issues.
- Develop and deliver technical procedures and user training.
- Develop and implement inventory assurance strategies and audit protocols.
- Monitor inventory transactions and investigate discrepancies or variances.
- Perform inventory adjustments as required.
- Create and deliver detailed inventory reporting and audit findings.
- Recommend process improvements to enhance accuracy and reduce shrinkage.
- Support upgrades, migrations, and new implementations.
- Support system integrations to ensure seamless data flow across all platforms.
- Identify opportunities to streamline workflows and increase efficiency through automation.
- Collaborate with warehouse, finance, and IT teams to ensure inventory accuracy.
- Analyze inventory data to identify trends, risks, and opportunities for improvement.
- Ensure compliance with internal controls and external regulations.
- Train staff in inventory system procedures and loss prevention techniques.
Requirements :
Required Skills & Qualifications
3+ years of experience in inventory control, assurance, or audit roles.Strong analytical and problem-solving skills.Proficiency in ERP systems (e.g., CERES / Dynamics 365) and Excel.Technical writing for end-user documentationExcellent communication and leadership abilities.Detail-oriented with a strong understanding of inventory workflows and controls.Excellent project management and communication skills.Ability to work in cross-functional teams and manage multiple priorities.Knowledge of database management, and reporting tools including but not limited to MySQL, Jet Reports, Tableau strongly desired.Working Environment
Operates in both office and warehouse environments; may require occasional travel between office locations.Regular use of office equipment, including computers, telephones, and copiers.Occasional walking between warehouse and office areas; limited operation of warehouse equipment may be required.Other : Able to pass a criminal background check and drug and alcohol screening. Must maintain safe driving record, current vehicle insurance and the ability to occasionally use personal vehicle for business.
