Job description

Marketing Assistant

We are searching for an experienced Marketing Assistant at our Generic Location facility.

Primary Duties and Responsibilities :

Play a key role in supporting the Marketing team by assisting with the organization and maintenance of marketing materials and the coordination of other marketing-related initiatives as directed. Maintain the integrity of the marketing databases (Cosential, Open Asset) and continue to develop them as resources. Assist with coordinating events, award submissions, PR, and advertising efforts.

Essential Activities :

  • Maintain and develop the Unanet (formerly Cosential) database, including ensuring the integrity of the data as well as the development of company reports for monitoring operational success.
  • Maintain the Digital Asset database through Open Asset (tagging and uploading photos), and contribute to the database via regular jobsite photography.
  • With direction, edit and maintain boilerplate text and information, project sheets and information systems (client files, resumes, mailing lists, etc.).
  • Assist, when required, on promotional materials, direct mail, annual review, photo shoots, award submittals, coordination of holiday cards, etc.
  • Assist, when required, with press releases and other PR activities.
  • Assist with the preparation of proposals and presentation materials. This may include researching, typing, editing, proofreading, copying, printing, binding, and filing at the direction of the Proposal Coordinator.
  • Assist with bidder's qualification forms and pre-qualification statements. This may include filling out forms (hard copy and online) by utilizing the database and retrieving new information from key players.
  • Contribute to Tarlton website updates, capable in website administration tasks.
  • Assist in planning and executing corporate events, including internal coordination of resources, invitations, mailings, making reservations, receiving RSVPs, name tags, etc.
  • Coordinate event tickets, i.e., log tickets and ensure they are being used.
  • Assist in the implementation of / updating brand guides and font styles.
  • Assist in the creation of the quarterly Waterhout newsletter at the direction of the Marketing Coordinator.
  • Coordinate and execute signage requests.
  • Assist in implementing Tarlton's Social Media strategy.
  • Serve as an internal resource for office communications technology Muddy Boots TV, conference room, etc. Provide back-up to the Marketing team in any capacity requested.

Miscellaneous :

  • Provide back-up to the estimating assistant when they are absent.
  • Manage phones at reception one day per week, 12 pm-1 pm.

    Managed By : Proposal Coordinator

    Primary People Contacts : Senior Marketing Manager, Proposal Coordinator, Director of Strategy, other marketing team members, Project Directors, Project Managers, Project Engineers, Project Assistants, and vendors. Occasionally architects, engineers and subcontractors.

  • Prerequisites (i.e., Education, Experience) :

  • B.A. or B.S. in Marketing, Communications, Journalism or Business Administration.
  • Demonstrate marketing experience and / or previous experience of some kind in the built environment and / or similar professional experience.
  • Strong interest and ability in market research and database management.
  • Fluent in Microsoft Office applications (Word, Excel, PowerPoint), familiar with InDesign and other Adobe products, able to navigate within CRM.
  • Excellent interpersonal, computer and oral / written communication skills.
  • Superior knowledge of grammar and punctuation, and good proofreading skills.
  • Demonstrates professionalism within the company, as well as working with other firms, clients, etc.
  • Characteristics of an individual must include being detail-oriented and highly organized.
