Responsibilities
Answer, screen, and direct incoming phone calls using a multi-line phone system.
- Greet and assist visitors in a courteous and professional manner.
- Draft, type, and proofread letters, emails, and other correspondence.
- Manage and organize electronic and paper files.
- Maintain office supplies and ensure common areas remain tidy and organized.
- Schedule appointments, meetings, and conference calls as needed.
- Assist with data entry, reports, and spreadsheets using Microsoft Office and Excel.
- Handle incoming and outgoing mail and packages.
- Provide administrative support to staff and leadership as assigned.
- Exercising initiative and ownership to address gaps and ensure operational continuity.
- Supporting staff with administrative tasks including some local travel.
- Demonstrate strong problem-solving skills when addressing inquiries, resolving scheduling conflicts, or handling unexpected issues in the office.
- Exercise good judgment and initiative in identifying and resolving administrative or customer service challenges .
- Must have the ability to handle sensitive and confidential information with professionalism.
- Professional demeanor and positive attitude required.
- Must pass a background check and clearances in accordance with State regulations.
Qualifications
Associate degree preferred.5+ years of proven experience as a receptionist, administrative assistant, or similar role.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Excellent verbal and written communication skills.Strong organizational and time-management skills with attention to detail.Ability to multi-task and prioritize in a fast-paced environment.Professional appearance and demeanor.Customer service–oriented and able to maintain confidentiality.Valid Michigan Driver's License and reliable transportation.Strong problem-solving and critical thinking abilities, with the capacity to manage competing priorities.Proactive, resourceful, and able to resolve issues with minimal supervision.Benefits :
