Administrative Assistant
The Administrative Assistant provides administrative support to departments, ensuring efficient daily operations. Key responsibilities include managing schedules, coordinating meetings, preparing reports, handling communications, and overseeing travel arrangements. The role requires strong organizational skills, attention to detail, and the ability to multi-task in a fast-paced environment. The Administrative Assistant serves as a key point of contact for both internal and external stakeholders, ensuring clear communication and the smooth execution of projects and tasks while maintaining confidentiality and professionalism.
What You Will Do :
- Provide administrative support to department leadership by drafting correspondence, preparing reports, managing documents, and coordinating communications.
- Manage schedules, arrange meetings, and coordinate meeting logistics, including preparing agendas, booking rooms, and following up on action items. Ensure that the department leadership and staff's time is optimized through effective scheduling.
- Organize and maintain departmental records and files (physical and digital), ensuring proper documentation and easy retrieval of important information for the team.
- Arrange travel logistics for leaders and staff, including accommodations and transportation. Process and track expense reports, ensuring timely submission and adherence to budget guidelines.
- Serve as the point of contact for internal and external communication, responding to inquiries, drafting email responses, and ensuring messages are conveyed efficiently. Provide support in drafting presentations, reports, and internal communications.
Qualifications :
H.S. Diploma or General Education Degree (GED) Required1-3 years Experience in administrative support roles, particularly providing assistance to leaders or teams. Experience should include tasks such as managing schedules, preparing reports, and coordinating meetings. RequiredKnowledge of office administration practices and business operations, especially in supporting leaders or teams.Strong familiarity with scheduling systems (e.g., Outlook calendar) and office management software.Understanding of travel and expense reporting systems and budgeting basics for managing departmental travel logistics.Strong organizational skills to manage executive calendars, coordinate meetings, and handle travel arrangements efficiently.Strong verbal and written communication skills for drafting professional correspondence, reports, and presentations.Problem-solving skills to anticipate the needs of leaders, resolve scheduling conflicts, and manage administrative challenges.Technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with collaborative tools (SharePoint, Teams, etc.).Ability to multi-task and prioritize tasks effectively in a dynamic and demanding environment.Ability to handle confidential information and work with discretion when supporting leaders.Ability to think proactively, anticipate executive needs, and take initiative in managing tasks.Strong ability to build relationships and collaborate with multiple stakeholders across departments.Benefits :
