Front Office & Administrative Coordinator
Teal Drones, a subsidiary of Red Cat Holdings, is a leader in aerospace, defense, and unmanned aerial & surface systems (UAS) technology. We are seeking a highly skilled Front Office & Administrative Coordinator to provide multi-faceted administrative and operational support to the Office Manager of Teal Drones. The Front Office & Administrative Coordinator will be responsible for managing priorities, supporting administrative processes, and facilitating effective communication between leadership, staff, and external vendors and suppliers. This role requires discretion, a proactive and highly organized professional who can independently manage tasks, oversee projects, and handle confidential matters with discretion. The ability to anticipate needs, implement processes, and ensure efficient operations is critical to success in this position. The successful Front Office & Administrative Coordinator is an energetic professional who doesn't mind wearing multiple hats. They should be experienced in handling a wide range of administrative and operational duties and be able to work independently with minimal supervision.
Essential Duties and Responsibilities :
- Be the "face" of the company. Greet all visitors when they arrive and assist with check-in process
- Cultivate and maintain professional relationships with vendors and service providers
- Ensure Visitor Policy guidelines are followed through the front desk Envoy system
- Serve as the point of contact for facilities maintenance and security matters
- Assist with organizing and scheduling corporate meetings and appointments as needed
- Participate in developing and maintaining positive and strategic relationships across all levels of the organization
- Identify opportunities to improve administrative processes and implement solutions to increase efficiency
- Maintain organized records, files, and confidential documents in alignment with company policies, ensuring strict confidentiality and discretion in handling sensitive business and personnel matters in coordination with the HR department as needed
- Assist with Marketing efforts as necessary (swag orders)
- Participate in the planning of company events including promoting activities that enhance operations
- Monitor and maintain both kitchen and office supplies inventory
- Maintain a safe, secure, clean, and pleasant work environment
- Other duties as assigned
Required Qualifications :
In-person position based at our South Salt Lake City office, requiring M F / 9 : 00 a.m. to 5 : 00 p.m. on-site shift. Occasionally earlier hours may be required to prepare for meetings / eventsMinimum of 3-5 years of experience as an office manager assistant, administrative, or similar role supporting senior leadershipExceptional organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environmentPrevious experience supporting leadership in a high-growth, technology-driven company.Strong verbal and written communication skills, with the ability to draft correspondence, prepare reports, and interact professionally with internal and external stakeholdersProactive problem-solving abilities, with a keen sense of initiative and the ability to anticipate needsProficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and adaptability to new software and collaboration toolsAttention to detail and high accuracy in managing records, expenses, and documentationAbility to work independently and in teams settings to improve administrative processes and operational efficiencyAdditional Desired Qualifications :
Experience in aerospace, defense, or government contracting industries, particularly in supporting executives in a highly regulated environmentFamiliarity with federal compliance, export regulations (ITAR / EAR), or security clearance processes.Physical Requirements and Working Conditions :
