Position Summary
The Executive Assistant provides administrative support to the CEO and executive leadership team of Evolve Orthopedic Partners. Key responsibilities include managing calendars, coordinating meetings and events, preparing materials, and handling correspondence and projects to keep leadership priorities on track. The role requires strong attention to detail, excellent organizational skills, adaptability in a fast-paced environment, and a high level of professionalism.
Responsibilities
- Manage scheduling and meeting coordination for the CEO and executive leadership team.
- Prioritize conflicting demands and ensure effective use of executive time.
- Serve as a liaison with internal teams and external partners to support the executive team’s initiatives.
- Lead coordination of group events, including logistics with outside organizations.
- Prepare, edit, and organize materials necessary for meetings, including quarterly board meetings.
- Draft correspondence, presentations, and reports with a high level of professionalism.
- Review and proofread proposals, meeting minutes, correspondence, and other documents requiring leadership approval.
- Complete special projects and administrative initiatives as requested by the CEO or members of the senior leadership team under tight deadlines.
- Process expense reports and submit them through proper channels in a timely manner to ensure reimbursement.
- Oversee office operations, including supplies, kitchen stocking, and coordination with maintenance and housekeeping vendors.
- Maintain confidentiality and exercise discretion in handling sensitive information.
- Represent the CEO, executive team, and Evolve Orthopedic Partners with professionalism and maturity at all times.
- Other responsibilities as needed.
Qualifications :
Minimum of 6–8 years of experience as an Executive Assistant supporting C-level or senior executives required.Bachelor’s degree in Business Administration or related field, or equivalent experience.Proven track record of managing complex schedules, travel, and logistics.High level of maturity and professionalism; ability to manage sensitive information with absolute confidentiality.Strong organizational skills with the ability to prioritize and manage multiple tasks.Excellent communication skills (written and verbal) and professional demeanor.Proficiency with Microsoft Office Suite and virtual meeting platforms.Ability to work independently, anticipate needs, and exercise sound judgment.Other Information :
Primarily in-office role; occasional work-from-home flexibility at the discretion of the CEO.Ability to travel as needed to support group meetings and events.Flexibility to occasionally work outside of regular business hours to meet deadlines or accommodate events.
