The UOEEE Administrative Assistant is not just a support role; it's about proactively anticipating the needs of leadership and team members, resolving operational issues before they escalate, and ensuring the delivery of stellar customer service. This role demands a candidate who can take initiative and operate independently under general direction while fostering a collaborative team spirit. Essential Duties : Administrative

  • Provide flexible, responsive, and high-quality customer service, continuously assessing processes and procedures and revising accordingly.
  • Manage front desk operations including hiring, training, scheduling, supervising, and evaluating assigned staff.
  • Monitor central inbox and respond to inquiries providing information requiring comprehensive knowledge of university and testing partners' policies and procedures.
  • Offer administrative and reporting assistance to support departmental functions.
  • Utilize a variety of digital platforms for responsibilities, communication, meetings, and webinars.
  • Track issues, ensuring timely delivery of solutions, and elevate concerns as needed, keeping leadership informed.
  • Prepare and modify documents including correspondence, reports, drafts, registration, rosters, memos, and emails as directed by leadership.
  • Independently compose correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved.
  • Responsible for general office management and maintaining a professional and conducive workspace.
  • Represent the organization on committees and / or councils within an assigned area of responsibility, as required.
  • Manage all incoming and outgoing mail and package logistics.
  • Take notes, and document tasks, discussions, outcomes, and other relevant activities.
  • Prepare meeting agendas, take meeting notes, and maintain records.
  • Attend meetings; contribute to discussions and provide operational perspective and support.
  • Monitor for continuous improvement possibilities, enhancing the client experience and internal efficiencies.
  • Tackle special projects such as data cleanup, research, and data reporting.
  • Stay current on new and updated policies, practices, and methods, ensuring implementation.
  • Remain up to date on university and client certifications and training.
  • Adjust priorities when necessary to accomplish activities.
  • Crosstrain to support other areas of the organization.
  • May assist with administering standardized testing operations.
  • Perform other duties as assigned to ensure the continuity of department operations.

Specific functions of the job related to HR responsibilities :

  • Act as a liaison between the department and University Human Resources.
  • Manage positions within ASU's hiring software, supporting the recruitment process.
  • Complete and assist with new hire and current employee HR procedures.
  • Serve as a hiring manager, providing support for personnel searches, onboarding, and off-boarding processes.
  • Maintain a comprehensive understanding of and stay current on HR policies and procedures and software platforms.
  • Specific functions of the job related to financial responsibilities :

  • Conduct data collection, record keeping, reconciliations, analysis, reporting, and various tasks to ensure accurate and timely processing of financial transactions.
  • Assist in the development of budgets, performance indicators, and accountability reports.
  • Coordinate service center and interdepartmental billing processes.
  • Serve as a P-card holder; prepare purchase request forms; secure purchase approval, order services and supplies; manage documentation.
  • Manage financial deposits and ensure proper invoicing to vendors and clients.
  • Process vendor and client payments efficiently.

  • Demonstrated ability to maintain effective working relationships and communicate with poise, diplomacy, and professionalism at all levels.
  • Experience in being dependable and organized with a high level of accuracy and meticulous attention to detail.
  • Demonstrate experience in taking the initiative to critically consider and propose solutions to issues.
  • Illustrate experience managing department financial accounts and budgets, including preparing reports and processing payments.
  • Experience in managing Human Resource procedures, encompassing personnel management, recruitment, classification, and payroll procedures.
  • Evidence of coordinating activities, time management, and establishing priorities.
  • Ability to properly handle confidential and highly sensitive information.
  • Experience supervising and training along with coordinating, prioritizing, and evaluating the work of others.
  • Experience with ASU or similar function systems, including WorkDay and PeopleSoft.
  • Working Environment :

    Have proficiency in computing and various computer platforms - including inputting, reviewing, and retrieving information, extended periods of viewing screens, using a mouse and keyboard, and sitting. Daily use of office equipment and multiple university and vendor software platforms. Activities are performed in an environmentally controlled office, classroom or conference room setting. Subject to extended periods of sitting, walking / moving about, keyboarding, and manipulating a computer mouse. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds are required for this position. Regular activities require the ability to quickly change priorities, often due to frequent interruptions and the need to resolve operational conflicts. This position requires the ability to clearly communicate to perform essential functions and uses critical thinking to make decisions and analyze data. Able to complete both administrative tasks and support frontend customer service tasks with students, faculty, and staff.
