Overview :
A leading national law firm is seeking a detail-oriented Billing Specialist to join its Finance and Accounting Department. This position may be based in the Chicago, Denver, Houston, or Washington, D.C. office on a hybrid schedule, or fully remote within an approved U.S. state.
The Billing Specialist will manage the end-to-end billing process for assigned client portfolios, ensuring timely and accurate invoicing in accordance with client requirements. This role requires strong analytical skills, exceptional attention to detail, and the ability to build collaborative relationships with attorneys, clients, and internal teams throughout the billing cycle.
Key Responsibilities :
- Manage all aspects of client billing, from account setup through final invoice submission.
- Collaborate closely with attorneys to ensure billing arrangements comply with client specifications and firm policies.
- Review and implement outside counsel guidelines, including monitoring fee caps, tier discounts, and budgets.
- Prepare and distribute accurate prebills; finalize and submit invoices in approved formats or through eBilling systems.
- Coordinate with eBilling and accounting teams to ensure accurate client setup and troubleshoot invoice submission issues.
- Communicate directly with clients regarding billing arrangements, invoice status, and related inquiries.
- Respond to requests for accruals, audits, and payment reports; prepare ad hoc reports as needed.
- Maintain prebill status and unapplied cash reports, assisting with payment applications and trust fund management.
- Ensure compliance with firm billing policies and develop efficient backup support processes across portfolios.
- Partner with attorneys and internal finance teams to improve billing efficiency, accuracy, and realization rates.
Qualifications :
Bachelor's degree in accounting, finance, business, or related discipline preferred; equivalent experience considered.Prior law firm or professional services billing experience strongly preferred.Proficiency with financial management systems and advanced Excel skills.Strong understanding of billing processes, eBilling systems, and financial reporting.Excellent organizational skills and the ability to manage multiple deadlines in a fast-paced environment.Strong written and verbal communication skills, with professionalism and discretion.Proven ability to work independently and collaboratively to resolve issues.Exceptional attention to detail and analytical ability.Demonstrated commitment to client service and continuous improvement.Flexibility to work additional hours as needed.Compensation :
The anticipated base salary range for this position is $48,576 - $88,000, commensurate with skills, experience, education, and location.
