About this role :

The Intake Coordinator is responsible for managing the intake and admission process for individuals and families entering the emergency shelter program. This role ensures that clients are welcomed with compassion, assessed for safety and needs, oriented to shelter rules and resources, and connected to appropriate services. The Intake Coordinator acts as the first point of contact for referrals, maintains accurate records, and ensures that admission procedures align with agency policies, funding requirements, and trauma-informed best practices.

Schedule : Tuesday / Thursday / Friday 8am-4pm, Wednesday 12p-8pm and Saturday 10am - 6pm - Other Hours : evenings / weekends / holidays as needed.

General Duties :

  • Manage and facilitate all aspects of client intake and admission for shelter, counseling, and PAIP programs, including screening, documentation, room assignments, orientation, and database entry.
  • Receive, screen, and process all incoming calls and referrals for all CCSS programs.
  • Screen any requests for financial assistance and schedule appointments as appropriate.
  • Schedule all check ins for shelter and assessments for CCSS programs
  • Provide trauma-informed crisis intervention, safety planning, and emotional support to clients during intake and admission.
  • Facilitate admissions, including paperwork, room assignments, and initial orientation to shelter policies and routines.
  • Conduct quality assurance reviews of client files to ensure compliance with agency standards and grant requirements.
  • Update and maintain daily shelter occupancy records, bed counts, and rosters to reflect current capacity.
  • Communicate vacancies to the Illinois Hotline, in Reloshare and DVBeds platform.
  • Act as the primary liaison between referral sources and internal staff, ensuring effective communication regarding admissions, client needs, and service coordination.
  • Act as a supportive, trauma-informed presence to reduce client stress during entry.
  • Manages the counseling appointment book.
  • Oversee the provision of accurate and consistent referral services; maintain knowledge of community and social service resources;
  • Supervisory Duties :

  • Supervise and train hotline volunteers, maintain volunteer schedules and logs, and ensure accurate documentation of volunteer activities including but not limited to :
  • a. Reach out to volunteers to schedule trainings.

    b. Update volunteer referral binders.

    c. Supervise volunteers in filing paperwork as needed.

    Administration Duties :

  • Review records or accuracy including Infonet / Empower entries & client documentation, in coordination with the 3rd shift data entry staff and Impact and Innovation Director.
  • Ensure confidentiality and compliance with legal, ethical, and program standards.
  • Monitor compliance with program eligibility requirements and agency policies.
  • Maintain accurate client files and logs
  • Education Required :

  • Bachelor's degree
  • Experience Required :

  • 1-3 years of experience working with youth, domestic violence survivors, or community education programs preferred
  • Other Requirements :

  • 40 Hour DV Training within 90 days of start
  • ICDVP Certification within 1 year of start

    This position is based in the south suburban Chicago area, providing convenient access to schools and community partners within the region.

    Compensation : $48,500.00 - $51,500.00 per year
