Administrative Clerk
Under general supervision of the Office Services Team Leader, is responsible for administrative and clerical support functions with Office Team.

Administrative / Clerical Duties
- Ability to create routine reports, spreadsheets, documents, and letters using Microsoft Word and Excel. Performs routine clerical support duties such as filing, word processing, and answering calls.
- Creates resident class schedule for facility using Microsoft Word, Excel and SecurManage database. Communicates with staff regarding schedule changes and updates. Sets up resident classes in the SecurManage database. Distributes and emails class schedule to control room and staff.
- Maintains active resident files to include filing of all paperwork and other documents. Ensures documentation is complete. Closes out resident files as resident leaves. Scans in proper documentation when needed.
- Tracks clinical documents and other information in spreadsheets, mails out resident discharge summary, official release, and other paperwork.
- Types up and processes weekly Phase and Privilege list for location. Updates resident phase levels in SecurManage after meeting.
- Sorts and distributes incoming mail to staff mailboxes at assigned location. Ensures all outgoing resident mail and staff interoffice mail is delivered to Bldg. 1
- Maintains daily working operation of copy machine.
- Orders and maintains office and copier supplies for location.
- Completes bi-weekly interoffice mail run (off-site) on Tuesdays and Thursdays to the County Administration Bldg. (Delta position).
- Enters screening referral information from PSI's and other referral sources in SecurManage system. Sets up screening files and processes overruled / rejected files. Updates screening spreadsheet(s) and documents.
- Processes new resident intake paperwork in SecurManage database; mails out probation, court, and family letters.
- Answers routine telephone inquiries from outside calls.
- Performs special projects as assigned or requested by the Office Services Team Leader. May include but is not limited to assisting with ACA audit files and providing back-up coverage for other Office Service Workers on team when out of the office.
- Participates in required hours of training annually.
- Other duties as assigned.

This position has no supervisory duties.
Minimum Qualifications And Requirements
Graduation from High School or GED equivalent.Ability to type 50 WPM.Thorough knowledge and proficiency in Microsoft Office, to include Word and Excel.Thorough knowledge of general office practices as would be gained through 2 years' experience in a professional office environment.Valid State of Ohio Drivers License.Ability to interact with all levels of staff, residents, and external agencies with tact and diplomacy.Must be able to maintain confidentiality.Supplemental Information
