Position Summary :
The In-Store Office Manager is responsible for managing daily administrative operations in the store. This role supports the Store Manager and Sales Team, ensures accurate recordkeeping, manages inventory paperwork, and delivers excellent customer service.
Reports To : Store Manager
Key Responsibilities :
Daily Tasks :
- Balance daily cash and credit card transactions.
- Create and manage Purchase Orders (P.O.s) and update order information.
- Maintain organized files for sales, orders, and financing.
- Finalize sales and transfers as directed by the Store Manager.
- Support sales staff with data entry, payments, and system questions.
- Track deliveries, verify full payments, and resolve delivery issues.
- Answer phones, greet walk-in customers, and manage the front office.
- Maintain office supplies and a clean, organized workspace.
Weekly Tasks :
Verify and update orders in the system.Inform sales staff of order delays or issues.Check deliveries for damage or defects.Review sales orders for accuracy.Monthly Tasks :
Help close out monthly financials and assist with inventory reports.Generate reports for Store Manager and Sales Associates.As Needed :
Support floor tagging, cleanliness, and visual merchandising.Assist with new hire onboarding and HR paperwork.Help with payroll tasks when requested.Shop & Service Responsibilities :
Manage service requests and repairs (in-store or in-home).Order parts, communicate with vendors, and update customers.Schedule service pick-ups or deliveries and finalize service orders.System Knowledge (GERS Software) :
Enter sales orders, credit memos, service requests, and payments.Run reports (e.g., daily cash, sales orders, inventory).Finalize, void, or update documents in the system.Process gift certificates and handle account inquiries.Skills & Requirements :
1+ year of administrative experience.6+ months of customer service experience.Basic accounting and computer skills.Strong communication, organization, and problem-solving skills.Able to work independently and manage multiple tasks.Professional appearance and positive attitude.Physical Requirements :
Ability to sit, stand, bend, lift (up to 30 lbs.), and move throughout the store.Ability to maintain focus and confidentiality.
