Assistant to the Associate Provost for International Initiatives & Executive Director, Center for Global Engagement
The Assistant to the Associate Provost of International Initiatives & Executive Director of CGE provides high-level administrative and operational support to the Associate Provost for International Initiatives and Executive Director of the Center for Global Engagement (CGE). This role manages a complex schedule, coordinates domestic and multi-country international travel, processes financial transactions, organizes data and records, and oversees logistics for special events and high-profile visitors. The position serves as a primary point of contact for university leaders, faculty, staff, students, alumni, and international partners, requiring exceptional professionalism, discretion, and organizational skills.
Key Responsibilities :
- Manage the Associate Provost's calendar, including scheduling meetings, conferences, and events, and anticipating future scheduling needs.
- Coordinate complex domestic and international travel in compliance with university policies, including itineraries with multiple countries, modes of transportation, and event requirements.
- Prepare detailed travel pre-approvals, expense reports, and reimbursements in multiple currencies; reconcile procurement cards and maintain accurate financial records.
- Serve as a primary liaison for visitors and international partners, arranging meetings, receptions, presentations, and other engagement opportunities.
- Plan and coordinate logistics for special events hosted by the Associate Provost, ensuring all details are executed professionally.
- Support special projects, reports, and presentations by gathering, organizing, and analyzing data; prepare professional correspondence and meeting materials.
- Maintain organized and accessible CGE records, including institutional agreements, legal documents, and strategic plan tracking.
- Provide administrative support to both internal and external advisory councils, including meeting scheduling, recordkeeping, and correspondence.
- Respond to inquiries, screen calls and visitors, and provide timely, professional communication to internal and external stakeholders.
Required Qualifications :
Demonstrated experience providing high-level administrative support to senior leadership or executives in a complex organization.Proven ability to manage multiple priorities, adapt quickly to changing circumstances, and maintain composure during urgent or unexpected situations.Strong organizational skills with careful attention to detail and accuracy in records, scheduling, and financial documentation.Excellent oral and written communication skills; preparation of professional correspondence.Professional presence and the ability to assert ideas, provide sound recommendations, and collaborate effectively with leadership and diverse stakeholders.Experience handling confidential and sensitive information with discretion.Proficiency with Microsoft Office Suite (Word, Excel, Teams, Outlook) and experience working with databases or data management systems.General knowledge of basic accounting principles and experience preparing financial or travel-related documents.Additional Considerations :
