Administrative Assistant I
Pay rate: $27/HR Monday-Friday 8am - 4:30pm
Responsibilities:
- Manage relationships with various vendors
- Book meetings and travel arrangements (minimal)
- Take and publish meeting minutes (minimal)
- Handle incoming mail and manage office supply ordering
- Maintain filing systems (physical and digital)
- Develop and implement new administrative systems
- Draft letters, prepare documents, write reports for management, and create PowerPoint presentations
- Respond to customer inquiries and resolve complaints
- Assist with purchase administration, including planning, making purchase orders, and checking invoices
- Support logistics administration: organize shipments to customers, coordinate pickups from suppliers, and handle customs documentation
- Coordinate and hire temporary production labor as needed
Requirements:
- Minimum 3 years of experience in a similar position within small companies
- Strong organizational, communication, and presentation skills
- Flexibility and adaptability to manage multiple tasks effectively
- Extensive knowledge of Microsoft Office suite, including Teams
- Ability to plan, organize, and prioritize workload efficiently
- Initiative and problem-solving skills to resolve issues quickly and appropriately
- Self-motivated with entrepreneurial spirit, comfortable working in a start-up environment
- Positive attitude, eagerness to learn new skills, and willingness to take on diverse responsibilities
