Position Summary
We are seeking a highly organized, detail-oriented individual with a sense of urgency to join our team as a Corporate Accounts Payable Production Assistant. In this role, you will manage check production, document processing, and mailroom operations to ensure smooth and efficient financial workflows.
Key Responsibilities
Check Production
- Prepare, print, and process checks for disbursement.
- Ensure accuracy and timely completion of check runs for Corporate Accounts Payable teams.
- Perform quality control checks on all printed checks before distribution.
Document Management
- Collect, sort, prepare, and scan documents related to financial transactions.
- Label and enter documents into the system, ensuring accuracy and compliance.
- Perform post-scanning quality checks and file original records securely.
- Properly dispose of confidential documents in accordance with company policy.
Mailroom Operations
- Manage incoming and outgoing mail and packages.
- Prepare and process outgoing mail and assist with returned or unclaimed mail.
Vendor & Inventory Management
- Maintain relationships with courier services (UPS, USPS, FedEx).
- Track mail and invoicing using Excel or other tools.
- Order and maintain office supplies and stockroom inventory.
- Replace toner in printers and copiers and manage service requests with equipment vendors.
Other Duties
- Provide coverage for other business service functions as needed.
- Maintain a clean desk policy and secure environment.
Qualifications
- High School diploma required.
- 12 years of experience in a similar role.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams).
- Ability to learn new software quickly.
- Strong organizational and communication skills with keen attention to detail.
- Comfortable with light physical activity, including lifting up to 25 lbs. occasionally.
- Regular, predictable attendance is essential.
- Positive attitude and commitment to delivering premier service.
