U.S. Facilities, Inc., a consolidated building maintenance services company, is seeking an experienced, highly motivated Account Administrator to work in Philadelphia, Pennsylvania. This position will play a crucial role in supporting the efficient operation of our facilities by managing administrative tasks, ensuring accurate financial tracking, and maintaining effective communication with both internal teams and external vendors. The ideal candidate will possess strong organizational skills, an understanding of financial processes, and a customer-focused attitude.

Responsibilities :

• Answers phones in a professional manner, and routing calls as necessary.
• Assists colleagues with administrative tasks.
• Creates purchase orders as directed and maintains log.
• Produces invoices billing the client for labor, parts, and subcontractors.
• Submits invoices through client's online portal for payment.
• Supports onsite staff with out-of-pocket expense submittal and credit card expenditures.
• Acts as the site key point of contact regarding invoicing, billing, and accounting.
• Provides coordination and support events, meeting, and conference facilities as required.
• Identifies opportunities for improved operation and service excellence, making recommendations to ensure industry standards are followed.
• Updates and maintains accurate records and official documentation for the site.
• Comply with all requirements of the client contract and meet or exceed key performance indicators.
• Deliver an exceptional quality of service, as reflected by client feedback.
• May be required to perform additional or different duties from those set forth above to address business needs and changing business practices.
