Front Office Receptionist
We are seeking a professional and organized Front Office Receptionist to join our steel services company in Jasper, FL. The ideal candidate will serve as the first point of contact for visitors, clients, and vendors, providing exceptional customer service while managing the daily administrative tasks to support the smooth operation of our office. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced manufacturing environment.
Key Responsibilities :
- Customer Service : Greet visitors, clients, and vendors warmly, answer incoming calls, and direct inquiries to the appropriate staff members.
- Administrative Support : Perform clerical tasks such as filing, data entry, scanning, and maintaining organized records for the fabrication, Industrial Services, General Contracting arms of the company.
- Communication : Manage email correspondence, relay messages promptly, and communicate effectively with internal teams, including sales, production, and management.
- Scheduling : Coordinate appointments, meetings, and conference room bookings for staff and clients; maintain the office calendar.
- Mail and Deliveries : Handle incoming and outgoing mail, packages, and deliveries, ensuring timely distribution to the appropriate departments.
- Office Management : Monitor and order office supplies, maintain a clean and organized front office, and coordinate with vendors for office-related services.
- Documentation : Assist with preparing basic reports, purchase orders, invoices, and other sales-related documents as directed; ensure accurate documentation for client and vendor interactions.
- Confidentiality : Handle sensitive information with discretion and maintain confidentiality of company and client data.
- Safety Compliance : Adhere to company safety protocols and ensure visitors follow safety guidelines when entering the facility.
Qualifications :
Education : High school diploma or equivalent; additional training or certification in office administration is a plus.Experience : 1-2 years of experience as a receptionist or in an administrative role, preferably in a manufacturing or industrial setting.Skills :Excellent verbal and written communication skills.Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment (phones, printers, scanners).Strong organizational and multitasking abilities.Familiarity with Strumis software systems is a plus but not required.Work Schedule :
Monday to Friday, 8 : 00 AM - 5 : 00 PM (may vary based on company needs). Occasional overtime may be required during peak periods.
