The Role
The Project Coordinator manages all finished materials for projects, serving as the link between design selections and project execution. This role requires exceptional detail orientation and the ability to manage dozens of tasks across multiple projects. You'll ensure materials are procured, delivered, and inspected on time and within budget while coordinating with designers, vendors, clients, and the internal team.

Essential Duties & Responsibilities
Materials Management
- Manage the complete lifecycle of finished materials from selection to job site delivery
- Build lists of all required materials based on architectural plans
- Obtain competitive quotes and secure trade discounts
- Release selections to clients for approval on Buildertrend before ordering deadlines
- Produce purchase orders within 48 hours of client deposit
- Inspect deliveries within 48 hours for quality and compliance
- Coordinate returns / replacements within 48 hours of inspection
- Ensure materials are properly labeled, stored, and delivered to job sites
Subcontract & Documentation Management
Manage all purchase orders and subcontractsEnsure subcontractor agreements are executed before work beginsVerify insurance, licenses, and W9s are currentProcess and collect lien releases before final paymentsReconcile purchase orders against vendor invoices and flag discrepanciesProject Coordination
Work with Project Manager to align material orders with schedulesTrack material costs against budgets in BuildertrendIdentify potential delivery delays and develop contingency plansProvide weekly updates on material status and schedule impactsDocument all material specs, orders, deliveries, and change ordersMaintain organized records for client handoverStakeholder Communication
Generate weekly client billings for approved selectionsCommunicate deadlines and lead times to clientsAttend weekly meetings with Project Managers to provide updatesCoordinate with the Resource Manager on storage and delivery logisticsBuild professional relationships with vendors, designers, and architectsMust Have
Knowledge & Skills Required
Minimum 3 years of experience in residential constructionStrong organizational and communication skillsProven ability to manage 20+ concurrent tasks with accuracyProficiency with Buildertrend or similar softwareUnderstanding of construction materials, specifications, and procurementAbility to read and interpret architectural plansCompetency in MS Word, Excel, and project management softwareProactive problem-solver with strong time management skillsComplete grasp of English; Spanish is an assetPreferred Education & Experience
High school diploma or GED required; Bachelor's preferredMinimum 3 years of residential construction experienceProficiency with Buildertrend or similar platformsCompensation & Benefits
Salary : $90,000-$110,000 annually (based on experience)
