Job Details : Purpose

The Outreach Program Coordinator position's primary responsibilities center on family engagement and administration of the Texas Parents Association Membership program. Texas Parents coordinates with units within the Dean of Students (DOS) portfolio and across campus to provide an elevated and comprehensive parent and family experience. The Outreach Program Coordinator manages all aspects of the planning and execution of family engagement opportunities. This includes but is not limited to Orientation, Family Weekend, Moov-In Mixer, regional gatherings, webinars. Additionally, the Program Coordinator manages all aspects of the Texas Parents Association Membership program. This role provides seamless administrative support with a focus on membership processing, reporting, retention of existing members, and member and partner relations.

Responsibilities

  • Plan and execute all family engagement programs and events for Texas Parents, including but not limited to Orientation, Family Weekend, Moov-In Mixer, regional gatherings, webinars, and other engagement opportunities. Ensure all experiences are elevated, welcoming, and accessible.
  • Administer the Texas Parents Association stewardship program. Involves processing Texas Parents Association supporting levels of membership including entering and maintaining accurate member information into the database and VIP systems both manually and by downloads. Act as the first point of contact for member assistance for online inquiries and incoming phone calls. Ensure all donors receive a personalized thank you from Texas Parents.
  • Provide the highest standard of customer service in person, over the phone, and via email, acting as primary point of contact for Texas Parents. Represent the department well by speaking knowledgeably and composing professional written responses with concise language and proper grammar. Advise, counsel, reassure and problem-solve for parents contacting the office. Assist parents / family within the University's complex structure, culture and systems, and policies and procedures to reach desired outcomes. Proactively acquire institutional knowledge that will aid in assisting the parent and family constituency.
  • Facilitate membership renewal program, administering strategies developed to encourage member retention and foster a sense of community. Oversee cycle for Texas Parents supporting member benefits of mailout including producing the membership welcome letter and merchandise, package delivery, including but not limited to, electronic request-to-ship form audit, log-in packages upon arrival, package tracking, notify student for pick-up, and completing necessary steps to transfer package / mail into student's possession.
  • Coordinate Family Orientation membership sign-up stations, hire, supervise and train Membership Orientation Student Leaders on use of the online sign-up system and database as well as the membership structure and offerings. Educate volunteers on membership fulfillment responsibilities and troubleshoot any technical problems.
  • Cultivate and maintain campus and vendor partnership relations to enhance member benefit offerings. Cold call and act as point of contact with local hotels to establish Family Orientation hotel options and membership benefits.
  • Assess all family engagement and membership initiatives through data collection and analysis . Develop strategic reports and actionable insights for the Associate Director, and ensure accuracy of departmental reporting, including digital engagement metrics, membership tracking, and Family Orientation sales
  • Serve as a contributing staff member in a team-centric and collaborative environment, functioning capably in a dynamic, fast-paced office, create and maintain standard operating procedures for assigned processes and procedures. Serve as an essential worker, and occasionally report to work, either in-person or remotely, during times of emergency closures. Substitute for other staff as necessary. Keep abreast of current events as they pertain to students and their families, and perform other tasks as assigned.

Required Qualifications

  • Bachelor's degree and three years of experience applicable experience, or High School graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level.
  • Ability to pay great attention to details and maintain accuracy in a data entry-based position.
  • Established working knowledge of Microsoft Office, specifically Excel and mail merge. Excellent organizational skills, written and verbal communication skills.
  • Ability to provide the highest standard of customer service.
  • Ability to work independently and as part of a team.
  • Ability to problem solve and think critically.
  • Relevant education and experience may be substituted as appropriate.

  • Bachelor's degree.
  • Bilingual in English and Spanish.
  • Direct experience related to job responsibilities.
  • Knowledge of student programs, organizations and activities at The University of Texas at Austin.
  • Knowledge of UT Austin's offices, structure, policies and procedures, history and traditions.
  • Experience selling and processing memberships.
  • Experience using membership database systems, Constant Contact and UT's VIP system.
  • Experience answering customer service centric questions by phone and email. Experience working with volunteers and training student staff.
  • Cold calling experience.
  • Salary Range

    $58,750

    Working Conditions

    Work around standard office conditions. Repetitive use of a keyboard at a workstation. Use of manual dexterity. Lifting and moving (membership benefit items), reaching, pushing, pulling. Work under stress, under deadlines, as a team member, independently, in a shared office space with interruptions and with overlapping projects.

    Work Shift

    Work location is on the main University of Texas at Austin campus. Standard work hours are Monday - Friday, from 8am - 5pm. Work additional hours during peak times, including early mornings, evenings and weekends, especially during the summer months during Family Orientation. Regular and punctual attendance at the workplace required. Must be eligible to work in the United States on a full-time basis for any employer without sponsorship.

    Employment Eligibility :

    Retirement Plan Eligibility :

    The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
