Strategic Operations Assistant

Executive Support & Coordination
- Provide direct operational and administrative support to the CTO / Chairman and their Science & Technology teams, including complex calendar scheduling, meeting logistics and follow-up tracking, & internal project coordination.
- Assist with internal communications, preparation of presentation materials, and coordination of executive-level meetings across team and company leadership.
- Anticipate needs and help team leadership stay organized and focused on top priorities.
SciTech Team Coordination
Support day-to-day coordination across team functions, including AI, Data Science, Drug Discovery, Biology, Chemistry, and Portfolio Management.Maintain visibility into team initiatives, milestones, and deliverables to help track progress and flag dependencies or communication gaps.Help organize team and organization level meetings, for technical reviews, and strategic sessions with SciTech and cross-functional stakeholders.Partner with the SciTech Operations and Portfolio Management teams to maintain alignment on goals, timelines, and resource planning.Cross-Functional Liason
Act as a bridge between SciTech and other company functions, including Business Operations, Finance, People, and Corporate Strategy.Support coordination of company-wide initiatives that require SciTech input or participation.Facilitate smooth communication flow across departmentsensuring that strategic, technical, and operational priorities remain aligned and that issues are surfaced and communicated quickly.Project & Information Management
Track key action items, deadlines, and follow-ups from SciTech and leadership meetings.Help build lightweight systems and processes that improve coordination and information sharing.Maintain organized documentation for SciTech activities, reports, and communications.Qualifications
35 years of experience in executive coordination, operations, or project support, ideally within technology, biotech, or data-driven organizations.Strong organizational and prioritization skills; able to manage multiple workstreams in a fast-paced, evolving environment.Excellent written and verbal communication skills; able to interface comfortably with executives, scientists, and cross-functional partners.Demonstrated ability to maintain confidentiality, manage sensitive information, and exercise sound judgment.Proficiency in collaboration and productivity tools (Google Workspace, Slack, Notion, Asana, or similar).Bachelors degree required; additional experience in science, technology, or business operations a plus.Interest in or curiosity about AI, biotechnology, and data science preferredno technical expertise required, but a strong willingness to learn.Location & Work Model
This is a remote-first role based in Salt Lake County, Utah, supporting a company headquartered in Irvine, California.Regular virtual collaboration with the CTO, SciTech leaders, and cross-functional teams.In-person meetings in the Salt Lake area and periodic travel to California HQ or and other locations.Increased local engagement and on-site requirements anticipated as the companys Utah presence expands.Ideal Candidate Profile
