Mueller Landscape Inc . is a well-established landscape maintenance company serving San Diego County. We specialize in residential yard care, sprinkler repairs, cleanups, and gardening services. With a growing team and expanding client base, we are seeking a proactive and organized Office Manager to oversee our daily operations and support our mission to deliver outstanding customer service.
Position Summary
The Office Manager plays a key leadership role in the organization and administration of our business operations. This person will manage the front office, oversee administrative staff, and ensure the smooth handling of customer communication, lead management, billing, payroll, and internal coordination using our integrated CRM platforms.
Key Responsibilities
Team & Office Management
Supervise and support office staff, including virtual assistants and customer service repsEnsure workflows are efficient and deadlines are metMonitor team performance and help implement improvementsMaintain a positive, productive office environmentCRM & Systems Management
Learn and manage our CRM platforms : Monday.com, CopilotCRM, and QBOEnsure accurate data input and tracking across all systemsCoordinate updates, integrations, and reporting from CRMsCustomer & Lead Management
Handle inbound calls, emails, and customer service inquiriesTrack leads from advertising channels and assign follow-upsEnsure timely and professional communication with clients and prospectsMaintain customer records and project updatesBilling & Payroll
Oversee customer invoicing, payment processing, and collectionsCoordinate payroll submissions with accuracy and timelinessTrack hours and resolve discrepancies with field staff and supervisorsMaintain confidentiality of sensitive financial and personnel dataAdministrative Operations
Manage scheduling coordination between departmentsAssist with onboarding of new hires and provide administrative supportOrder office supplies, manage vendor communication, and handle mailQualifications
Proven experience in office management, preferably in a service-based industryFamiliarity with CRM systems and cloud-based tools (experience with Monday.com and QuickBooks Online a plus)Strong communication and leadership skillsDetail-oriented with excellent organizational abilitiesAbility to multitask and adapt in a fast-paced environmentProfessional, courteous, and customer-focused demeanorBilingual (English / Spanish) a plusCompensation & Benefits
