JOB TITLE : Executive Assistant of Advancement

DEPARTMENT : Advancement

REPORTS TO : Chief Advancement Officer

SALARY RANGE : Commensurate with experience

POSITION / FTE : Full-Time (1.00 FTE), Non-Exempt

Position Summary

The Executive Assistant, Advancement serves as a key administrative partner to the Chief Advancement Officer (CAO), providing high-level support in managing communications, scheduling, and strategic initiatives related primarily to donor engagement, stewardship, and major gifts. This role plays a critical part in supporting the Advancement team's donor-focused efforts, ensuring smooth operations and timely execution of tasks that enhance donor relationships and philanthropic impact. While the primary focus is on donor work, the Executive Assistant may also provide backup support to the broader Advancement team—particularly during high-activity periods such as Family Weekend and Alumni Weekend. The ideal candidate is highly organized, discreet, proactive, and capable of managing multiple priorities in a fast-paced, mission-driven environment.

Key Responsibilities

  • Provide direct executive support to the Chief Advancement Officer, including calendar management, meeting preparation, travel coordination, and donor-related correspondence.
  • Serve as a liaison between the CAO and key donors, trustees, and other high-level stakeholders, ensuring timely and professional communication.
  • Support donor engagement and stewardship efforts, including preparation of materials, tracking donor interactions, and assisting with personalized outreach.
  • Assist the Major Gifts team with administrative tasks, donor visit coordination, and follow-up communications.
  • Maintain and update donor records in Blackbaud Raiser's Edge; support data integrity and reporting projects related to donor activity.
  • Prepare briefing documents, donor profiles, and event materials for donor meetings and Advancement initiatives.
  • Coordinate logistics for donor-focused events and meetings, including occasional evening and weekend commitments.
  • Provide backup support to the broader Advancement team—particularly during high-volume periods such as Family Weekend and Alumni Weekend.
  • Uphold confidentiality of all donor and development records and sensitive information.
  • Contribute to a collaborative, mission-driven office culture with a focus on excellence in donor relations.

Qualifications

  • Minimum of 3–5 years of experience supporting senior leadership, preferably in a nonprofit or educational setting.
  • Advanced proficiency in Google Workspace (Docs, Sheets, Slides, etc), Adobe Acrobat, and internet-based tools.
  • Experience with Blackbaud Raiser's Edge or similar CRM / database systems strongly preferred.
  • Exceptional organizational, communication, and interpersonal skills.
  • Ability to manage multiple projects with accuracy and attention to detail.
  • Demonstrated discretion and sound judgment in handling confidential information.
  • Ability to work independently and collaboratively, with a proactive and service-oriented mindset.
