Join our Lettershop Division and play a key role in delivering high-impact direct mail campaigns for agency clients. We’re looking for a detail-oriented Print Buying & Billing Specialist to manage vendor sourcing, estimating, and billing for print and mail projects. This role focuses on obtaining competitive print solutions, managing vendor relationships, and ensuring accurate billing through our production management software, Midnight.
The ideal candidate thrives in a fast-paced production environment, has strong negotiation skills, and is eager to become our in-house expert on print buying, estimating, and billing.
Key Responsibilities
Print Buying & Estimating
- Act as the primary buyer for all outside print services, securing competitive bids and negotiating favorable terms with vendors.
- Build accurate cost estimates for print and mail projects using Midnight, ensuring timely delivery of estimates to internal client teams.
- Review project specifications to recommend efficient production methods, considering paper stock, color, finishing, and quality standards.
- Maintain a preferred vendor list and foster strong supplier relationships to ensure reliability and cost-effectiveness.
- Partner with the Production Manager to confirm specs, vendor costs, timelines, and budget requirements.
Billing & Invoicing
Generate client invoices through Midnight for all print projects.Reconcile estimates with final project costs, including outside vendor invoices.Track billing accuracy and resolve discrepancies promptly.Perform postage reconciliation as part of final cost review and billing accuracy.Systems & Process Support
Serve as a super-user of Midnight to maximize its functionality for production, estimating and billing.Input and manage job data, pricing, and workflow into systemProvide training and support for team members on Midnight features.Production Support
Coordinate with vendors for quotes and schedules.Issue purchase orders for outside print using NetSuite.Assist with tracking and ordering inventory (paper, envelopes, inserts).Provide backup support for project setup and client communication as needed.Skills, Knowledge & Expertise
Qualifications
2–5 years of experience in print production, estimating, or billing (lettershop / direct mail strongly preferred).Strong proficiency with production or estimating software (Midnight and / or Printers Plan experience a plus).Excellent negotiation skills and vendor management experience.High numerical accuracy and attention to detail.Strong communication and collaboration skills.Comfortable working full-time, in-office, with a production team.Attributes We Value
