Market Center Administrator - Accounting and Operations

Keller Williams, in the Greater Cleveland area, is looking for top talent to fill the leadership role of Market Center Administrator (MCA). This is an opportunity to be a key player in our growing real estate firm, currently almost 300 agents strong and growing!!

In the MCA role, developing relationships is critical to your success. The MCA is responsible for keeping the office and the Team Leader on track and productive. He or she maintains personal working relationships with associates and interacts with them daily. The MCA also helps with any miscellaneous projects and brainstorms ways to help improve the Market Center both financially and operationally. Think of the MCA as the Market Center’s CFO and COO.

The MCA wears many hats. Job responsibilities cover three specific areas :

  • Operations and Administration.
  • Accounting.
  • Support.

Operations and Administration :

The MCA is responsible for all systems in the Market Center. This includes :

  • Hiring and managing Market Center staff.
  • Interacting with staff, associates, and vendors.
  • Run daily office huddles for staff.
  • Participate in leadership, staff, team meetings, and Agent Leadership Council.
  • Purchasing supplies and equipment.
  • Ensuring the professional appearance of all physical facilities.
  • Overseeing the distribution of mail and other communications.
  • Coordinating the maintenance of office equipment, including performing minor repairs, calling for repair services, and monitoring maintenance agreements.
  • Setting up and maintaining all passwords on computer systems.
  • Delegating tasks to staff and ensuring phones are covered.
  • Travel to and participate in KWRI regional meetings and periodic annual events.
  • Accounting :

    The MCA is responsible for accurate banking and accounting services. This includes :

  • Full charge accounting; AR / AP, journal entries and financial statements.
  • Computerized bookkeeping and general computer experience.
  • Responsible for daily processing and paying associate commissions both with urgency and accuracy.
  • Responsible for daily deposits of commissions.
  • Staff payroll bi-monthly.
  • Maintaining office files, including accounting, general ledger, associate, employee, listing, contract pending, and closed contract files.
  • Monthly reporting to Keller Williams Realty International (KWRI) by the first working day of the following month of all production and accounting figures for the month.
  • Monthly agent billing.
  • Reconciling bank accounts.
  • Acting as the Market Center liaison to the CPA.
  • Bi-annual budget.
  • Special event accounting.
  • Preparing Annual agent tax forms and reports.
  • Accounting for Charity accounts.
  • Being detailed and action-oriented.
  • Support :

    The Market Center Administrator is also responsible for supporting the Market Center associates and Team Leader (TL). This includes :

  • Understanding, demonstrating, and promoting the WI4C2TES and the KW culture as it relates to agents, staff, ownership, and others.
  • Assisting the TL in new agent orientation and training.
  • Providing computer services as needed for Command and Accounting systems.
  • Assisting the TL in leading agents and the Market Center.
  • Providing support and feedback to the TL and DOO on all matters affecting the productivity and operation of the Market Center.
  • Calculating and reporting for local, regional, and international awards.
  • Experience in a real estate office is preferred, but not required. Full-time, office-based position with base pay plus bonus incentives with potential to earn $65,000-$70,000. Additional benefits include medical insurance, 401K, paid vacation, and holidays.

    Job Type : Full-time.

    Compensation : $65,000-$70,000 per year.
