Document Control Manager
As a Document Control Manager, your primary responsibility will be to manage and organize project-related documents to ensure accuracy, accessibility, and compliance with regulatory standards. This is a crucial role which maintains an efficient document control system that supports any construction project goals and objectives. Successful candidates would require meticulous attention to detail, excellent organizational skills, and the ability to collaborate with a large team.
Key Responsibilities / Accountabilities
Document Management :
- Defines standards and workflows for document management as well as leads the collection, authorization, publication, storage, retrieval and retention of documents of a given project(s).
- Establishes (within corporate or client guidelines) the document controls strategy, systems, and policies and procedures including but not limited to the authoring, approval, publishing, version control and archiving of all project or program related documents.
- Manages and audits document control processes and systems to ensure control and availability of documentation to appropriate personnel.
- Receive, prepare, coordinate, log, and track plans, procedures and specifications as received including all revisions both electronically and paper systems.
- Distribute new revisions to plans, procedures and specifications to project personnel, subcontractors, designers and relevant divisional groups.
Quality Control :
Conduct monthly audits of project documents.Maintain and track all hard copy files of project documentation, all electronic copy files of project documentation, file system for transmittals and associated documents like project photos and so on.Collaboration and Communication :
Work with closely and maintains a good relationship and communication with our trade partners to insure all documentation needed is obtained in a timely manner.Supports Project Managers, Construction Managers, Superintendents and Construction Engineers regarding submittals, RFI's, drawings, specifications, and other archival requirements for project documentsQualifications :
Minimum of 5 years Document Control experience in the construction industryProcore and Bluebeam experience are a mustExceptional written and oral communication skillsGood understanding of Document Control processesAble to work efficiently as a part of a team as well as independentlyAble to effectively prioritize workload to ensure deadlines are metFlexibility to meet engineering delivery schedules and project demandsDesire to take initiative and work independentlyStrong work ethic and positive team attitudeStrong proficiency in MS Office software applications including Word, Excel, Power Point, and OutlookPhysical Requirements :
