Job Goal :
- To enhance the administration of the school's business affairs by performing the bookkeeping functions needed for budgetary control, revenue, distribution of expenditures, general ledger, accounts payable, accounts receivable, and other functions as assigned.
Qualifications :
High school diploma or GED; Associate's degree or higher, preferred.Comprehensive knowledge of double-entry accounting and bookkeeping systems, payroll, and accounts payable procedures. (Credit on our salary schedule will be given for experience in a similar institutional, governmental, or public school system where fund accounting is used.)Ability to meet the suitability criteria for employment and / or certification licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.Demonstrated proficiency in oral and written communication skills.Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups.Ability to work independently, prioritize tasks, and perform assignments as directed with accuracy, attention to detail, and within established time frames.Knowledge of computer network operations, data entry and retrieval using technology, and bookkeeping procedures.Ability to utilize or develop proficiency using NextGen or other school / system software.Ability to remain calm and use good judgment in emergencies.Ability to exercise tact, courtesy, and initiative in dealing with students, parents, faculty, and the public.Ability to organize and maintain accurate records.Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced work environment.Possess and demonstrate high ethical standards, accountability, and integrity and ensure compliance with local school financial guidelines.Ability to use technology to communicate, manage data, and produce / submit required reports, correspondence, and / or financial information.Ability to engage in prolonged sitting.Ability to be punctual and in regular attendance.Such alternatives to the above qualifications as the Board may require.Performance Responsibilities and Essential Functions :
Demonstrates support for the school system and its vision, goals, and priorities.Provides management and supervision of the school office, principal's office, and the office staff as requested.Performs duties and represents the system courteously, positively, and professionally.Publishes or disseminates daily bulletins or information communications for teachers and the principal as assigned.Provides training to teachers and staff related to local school accounting policies and procedures.Maintains a complete and systematic set of records of all financial transactions of school funds following generally accepted accounting principles (GAAP).Monitors account balances and related financial activity to ensure that allocations are accurate, expenses are within budget limits, and / or fiscal practices are followed.Records details of school financial transactions.Prepares financial statements, income statements, and accountability and cost reports to reflect the school's financial condition.Traces errors and records adjustments to correct charges or credits posted to accounts.Reconciles statements and accounts as directed.Maintains financial records for all funds.Performs accounts payable duties that include, but are not limited to, the issuance of purchase orders, accurate coding and posting of invoices, and timely payments to vendors.Prepares and submits bank deposits daily.Receipts all funds submitted to the school office daily to the appropriate revenue codes.Demonstrates knowledge of local school accounting policies and procedures.Follows attendance, punctuality, and proper dress rules.Ensures adherence to good safety standards.Maintains confidentiality regarding school / workplace matters.Models and maintains high ethical standards.Demonstrates initiative in performing assigned responsibilities; uses time wisely; works efficiently.Maintains expertise in assigned areas to fulfill project goals and objectives.Participates successfully in training programs to increase skill and proficiency related to assignments.Keeps the supervisor informed of potential problems or unusual events.Serves on school / system committees as required or appropriate.Exhibits interpersonal skills to work as an effective team member.Demonstrates initiative in identifying potential problems or opportunities for improvement.Reports potential problems, unusual events, or work irregularities to appropriate administrative or supervisory personnel.Responds to inquiries, requests, constructive feedback, concerns, and / or complaints promptly and positively.Maintains and submits reports, records, and correspondence promptly and accurately.Properly uses and cares for the school system's equipment and material resources and effectively supervises and monitors others in the care, maintenance, and use of tools, equipment, and inventory.Uses effective collaboration skills to work as a productive team member.Demonstrates support for the school system and its goals and priorities.Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local regulations.Reports absences and takes leave following Board policies and procedures.Performs any other job-related duties as assigned by Supervisor(s).Evaluation : Performance of this job will be evaluated in accordance with provisions of the State Department of Education and / or Pike Road Board of Education policy on evaluation of classified personnel.
